We are seeking a diligent Ocean Export Logistics Coordinator to be based in Jersey City, New Jersey. The primary focus of the role is to ensure the seamless operation of our logistics functions, with tasks ranging from managing Advanced Cargo Reporting activities to maintaining communication with vendors and internal stakeholders. This position offers a contract to permanent employment opportunity in the logistics industry.
Responsibilities :
- Manage Advanced Cargo Reporting (ACR) tasks as required by the destination country
- Facilitate communication related to shipments between internal stakeholders and vendors
- Record cargo and container details into the Transport Management System (TMS) based on customer documents
- Draft and verify Master Bill of Lading (MBL), inputting the MBL number into the TMS
- Organize and finalize cargo insurance details, where applicable
- Monitor the 'on board' status of shipments with the carrier continuously
- Ensure that ACR filing is accepted
- Liaise with Container Yard (CY) and port authorities as needed
- Provide Bill of Lading (BL) Draft to the shipper
- Guarantee the timely and precise completion of activities in the TMS
- Adhere to customer-specific Key Performance Indicators (KPIs), where applicable
- Update Estimated Time of Departure (ETD) and Estimated Time of Arrival (ETA) in the TMS in the event of vessel or schedule alterations
- Input Actual Time of Departure (ATD) into the TMS as soon as it is available
- Receive and / or upload relevant Pre-Alert documents to the digital archive, where applicable
- Issue House Bill of Lading (HBL) as per the shipper's instructions
- Confirm the payment status of the invoice to the shipper
- Obtain HBL signature from Operations Management, where applicable
- Release HBL to the shipper following company's procedures
- Execute HBL 'Telex Release' procedure, where applicable
- Request MBL 'Telex Release' procedure, where applicable
- Generate Shipping Notice to network partner in the TMS
- Confirm receipt of MBL in the TMS
- Input data into the TMS and submit to the carrier
- Enter ACR details into the TMS and submit data, where applicable.
- Proficiency in Business Systems
- Knowledge and experience in using Cargowise
- Familiarity with CRM platforms
- Understanding and experience with ERP - Enterprise Resource Planning
- Capability to work with ERP Solutions
- Ability to utilize About Time software proficiently
- Experience in handling Billing Functions
- Excellent Communication skills
- Prior experience in Customer Service
- Knowledge of Customs procedures and regulations
- Experience as a Freight Forwarder
- Understanding of Freight Forwarding procedures
- Ability to manage Export Shipments
- Experience in handling Export - Import Documents
