We are in the process of recruiting an Office Assistant to join our team in Seattle, Washington. The selected candidate will be the primary on-site contact, serving as the liaison between residents, vendors, and remote property management. The role is mainly administrative and operational, with a focus on vendor coordination, resident communication, and building oversight, without the direct responsibility of maintenance.Responsibilities:• Efficiently manage vendor and contractor coordination, ensuring the prompt and cost-effective completion of maintenance and repairs.• Maintain and track service schedules and work orders.• Act as the primary point of contact for residents, professionally handling inquiries, concerns, and service requests.• Facilitate the process of move-ins/move-outs, deliveries, and orientations for new residents.• Regularly communicate with residents, the condo board, and the remote property manager.• Keep records of building operations, vendor contracts, and resident communications.• Monitor overall building conditions and report maintenance issues to appropriate vendors or parties.• Draft and distribute building notices, newsletters, and updates via various communication channels.• Serve as the on-site point of contact during emergencies, coordinating with emergency services and vendors as needed.• Utilize various software systems, including Accounting Software Systems, ADP - Financial Services, and Computer Programs, to perform administrative tasks efficiently.
