What are the responsibilities and job description for the Executive Office Assistant position at ROBINS FINANCIAL CREDIT UNION?
What You’ll Do:
Administrative Office Support:
- Proactively manage the executive office calendars (EVP/CGO, SLT time off, SLT Community activities), ensuring optimal time management and prioritization of commitments.
- Handle email correspondence and meeting coordination with accuracy and professionalism.
- Schedule business unit meetings, ensure recaps are provided and follow-up items are completed.
- Ensure monthly report and dashboards are up to date and meet timelines established.
- Coordinate and oversee travel arrangements for staff.
- Prepare, edit, and maintain a variety of documents, including reports, presentations, and communications.
- Screen and prioritize incoming inquiries, ensuring timely responses and efficient follow-up.
- Oversee budget tracking, expense reporting, and invoice processing associated with assigned projects
- Maintain a productive and organized work environment by overseeing daily office operations.
- Manage office supplies, equipment, and vendor relationships to meet operational and strategic needs.
- Coordinate essential services such as maintenance, IT support, and workspace optimization.
- Address and resolve office-related inquiries with a proactive and solution-oriented approach.
Event Planning:
- Plan and execute internal and external meetings, including logistics, catering, set-up, invitations agendas, presentations and technology setup.
- Organize and manage departmental events, training sessions, and team-building activities to foster engagement and collaboration.
Independent Work:
- Identify opportunities for process improvements and implement solutions to enhance administrative and operational efficiency.
- Anticipate needs, address challenges, and provide strategic support with minimal supervision.
- Offer additional support to executives or departments during special projects or high-demand periods.
- Provide support and back-up to Executive Office Administrator duties.
