Job Summary:
The Assistant Spa Director is a vital and pivotal role responsible for assisting in the oversight of all spa operations, including front desk, group bookings, retail, hospitality, and service departments such as massage, esthetics, nails, and hair. This role requires an extremely organized and self-motivated individual capable of working independently while providing strategic direction, operational efficiency, and continuous improvement to the spa management team. The Assistant Spa Director will lead hospitality etiquette training, ensure compliance with legal and regulatory standards, manage vendor relationships, track financial performance, and oversee staff scheduling strategies. A willingness to learn hotel and resort management is key to expanding responsibilities within broader hospitality operations. Weekend and holiday availability is required, with significant opportunities for executive advancement.
Key Responsibilities:
- Operational Oversight & Leadership:
- Assist in overseeing all spa departments, ensuring consistent, high-quality service across the spa.
- Ability to work in fast paced and high-pressure environment, while remaining calm
- Ensure compliance with certifications, health and safety regulations, and legal standards.
- Implement operational efficiency improvements and develop seasonal promotional ideas.
- Track and manage all vendor relationships, ensuring timely payment of invoices and adherence to budget guidelines.
- Write professional communications to staff, members, or guests regarding updates or policy changes.
- Support the spa management team in continuous improvement efforts related to guest services, staff performance, and operations.
- Customer Service & Hospitality:
- Lead hospitality etiquette training to ensure staff deliver exceptional guest experiences.
- Ensure customer service excellence, handling guest complaints and disputes with empathy and professionalism.
- Use mindfulness and emotional intelligence to manage guest interactions, ensuring positive outcomes.
- Proactively address guest needs and maintain high standards of service across all departments.
- Compliance & Legal Adherence:
- Ensure full compliance with industry regulations, labor laws, and health and safety protocols.
- Collaborate with HR to maintain compliance with employment law, staff safety, and human resource policies.
- Ensure adherence to legal standards related to licensing, certifications, and operational regulations.
- Financial Management & Budgeting:
- Track and manage invoices, payables, and vendor payments, ensuring accuracy in coding and processing.
- Assist in developing and monitoring budgeting and cost analysis, controlling costs while identifying opportunities for savings.
- Analyze occupancy counts, sales trends, and operational costs to develop strategies for revenue growth.
- Work with the marketing team on seasonal promotions to drive revenue and customer engagement.
- Staff Scheduling & Resource Management:
- Oversee staff scheduling, ensuring alignment with occupancy counts and guest demand.
- Optimize labor costs while maintaining appropriate staffing levels for peak and non-peak times.
- Training, Development, & Leadership:
- Design and implement training programs focused on customer service, hospitality etiquette, and compliance.
- Provide ongoing training to keep staff aligned with the spa’s high service standards.
- Mentor and coach staff to foster a positive, high-performance work environment.
- Collaborate with the spa management team to identify and address areas for operational improvement.
- Administrative & Program Management:
- Use technology, including Excel and vendor management systems, to track performance, manage vendor payments, and generate reports.
- Implement new systems and procedures to support operational and financial goals.
Qualifications
Skills & Qualifications:
- Bachelor’s Degree or 3 to 4 years of supervisory experience in spa management, hospitality, or a related field.
- Extremely organized, with strong attention to detail and the ability to manage multiple tasks efficiently.
- Strong financial acumen with experience managing invoices, payables, and budgeting.
- Excellent writing skills, with the ability to draft professional notices and letters to staff, members, or guests.
- Expertise in customer service and hospitality etiquette, with experience in staff training programs.
- Proven leadership abilities, with the capacity to motivate and develop staff while maintaining operational efficiency.
- Strong conflict resolution and communication skills for handling guest concerns.
- Knowledge of industry regulations, human resources policies, and safety standards.
- Proficiency in Microsoft Office, particularly Excel, and experience with scheduling and reporting software.
- Willingness to learn hotel and resort management to expand into broader hospitality operations.
