This role will be responsible for all aspects of meeting coordination, ensuring the smooth running of lectures, discussions, and other course activities.
Responsibilities of the Meetings Coordinator:
Manage Meeting Logistics:
- Coordinate and confirm meeting rooms and required equipment.
- Prepare and share materials with participants.
- Arrange catering and refreshments as needed.
- Support the Meetings Manager with hybrid Zoom session operations.
- Test and set up Zoom technology for in-person and virtual attendees.
- Monitor chat and Q&A features for virtual participants.
- Troubleshoot audio, video, or connectivity issues during virtual sessions.
- Facilitate engagement for virtual attendees in discussions and activities.
- Oversee session recording and live streaming, if applicable.
Provide Administrative Support:
- Collect and organize participant feedback.
- Address any logistical challenges that arise.
Qualifications of the Meetings Coordinator:
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and other relevant tools.
- Background in event planning or meeting coordination preferred.
- Familiarity with the medical field is advantageous but not mandatory.
- Ability to work independently and collaboratively within a team.
