The Front Office Coordinator will work with a team of five paralegals and seven attorneys.
Our ideal candidate must be able to thrive in a dynamic team-based environment, be highly organized/reliable, possess good judgement/people/communication skills, and have consistent time management abilities. This position requires an individual who is self-motivated, detail oriented, able to respond to clients with empathy and concern, and comfortable with handling communication within the firm.
Responsibilities and Qualifications
Responsibilities:
- Greeting incoming visitors, answering and routing incoming phone calls
- Perform administrative and receptionist duties
- Review and process all incoming office faxes, mail, FedEx & UPS
- Copies, scans and files documents into iManage system
- Ordering and distribution of office, break room, and conference room supplies
- Preparing new client intake materials; opening new client matters; billing activities
- Courier services as needed
- Process invoices for client billing
- Responsible for hospitality including conference room setup and break room management.
Skills & Qualifications:
- Empathy, Compassion and Patience
- Satisfactory knowledge of day-to-day operations of a legal office
- Must have excellent communication skills
- Must be able to work independently in a fast-paced environment
- Detail oriented and very organized
- Familiar with Microsoft suite, iManage, and Outlook preferred, but not required
- Ability to adapt to change (expected and unexpected) and balance competing demands in a fast-paced environment
- Demonstrates effective teamwork and communication with team members, prioritizes assignments and work needs, and works well under occasional periods of pressure and short deadlines
- Must be able to lift at least 30 pounds
- High school diploma or equivalency required

Salary : $17 - $18
