What are the responsibilities and job description for the Sales Support Specialist position at Rommesmo Companies, Inc?
SUMMARY OF RESPONSIBILITIES
Answer inquiries and/or obtain information for general public, customers, visitors, Sales Support Specialists and Outside Sales Representatives and other interested parties regarding Minnkota Windows. Along with walk-in traffic there will be phone responsibilities; requires strong multi-tasking skills.
ESSENTIAL POSITION RESPONSIBILITIES
- Embrace and demonstrate the qualities of the Minnkota Windows Game Changer definition.
- Positively interact and collaborate with all other team members of the company including Sales Support Specialist (2 & 3), Outside Sales Representatives, Business Development Representatives, Sales & Marketing Manager, Production, Supply Chain, Operations, Shipping and President.
- Must be able to accurately fulfill customers' requests using WebCP software system.
- Handle walk-in and phone inquiries/sales of window and door products.
- Always conduct oneself in professional manner when dealing with customers, vendors and Minnkota Windows employees.
- Attend seminars, classes and trade shows as necessary to network, learn new sales skills, and to increase window/door product/industry knowledge.
- Willing to work extended and flexible hours when necessary.
- Assist dealers with questions and issues, while finding the best ways to answer their needs in a timely fashion.
- Support Outside Sales Representatives, Business Development Representatives and Sales Support Specialists for quote entry, logistical questions and be a liaison between Sales and Production.
- Create new accounts in WebCP and convert leads to accounts in Salesforce.
- Create new WebCP external users.
- Manage WebCP content via Omni Content Manager.
- Primary level collection of packing slips from Shipping and coordinate paperwork for Finance to invoice.
- Manage samples, displays, marketing materials inventory. Order samples/displays as requested by OSR, BDR and dealers, schedule for shipment.
- Order dealer direct and staff promotional items.
- Notify local customers of completed orders and schedule pick-up or delivery.
- Secondary level quote creation via WebCP in timely fashion.
- Primary level collection calls on delinquent dealer accounts.
- Manage, and maintain, office supplies (tablets, markers, pens, etc.). Order to replenish supply as necessary.
- File paperwork as necessary.
- Collect invoices and statements, prepare for mailing.
- Sort incoming mail and prepare outgoing mail.
- Prompt and dependable attendance.
- Other duties as assigned.
KNOWLEDGE, SKILLS AND QUALITIES
- Proficient knowledge of Microsoft Office suite of software (Outlook, Excel, Teams, Word, Power Point).
- Excellent customer service skills.
- Proficient organizational skills.
- Foundational knowledge of window and door products and industry.
- Ability to understand or gain knowledge of WebCP, MasterPoint and Salesforce CRM online tools.
- Ability to understand or gain knowledge of proper window/door installation procedures.
- Ability to perform work accurately and thoroughly.
- Ability to adapt to change in the workplace.
- Ability to take care of customers' needs while following company procedures.
- Ability to identify and correct conditions that affect employee safety.
EDUCATION AND WORK EXPERIENCE
- High School Diploma or GED required.
- Associate’s degree in business/Sales/Marketing or related field preferred, or equivalent work experience.
