What are the responsibilities and job description for the Finance Executive Administrative Assistant position at Rosen Hotels & Resorts?
Summary:
Coordinate and perform a range of staff as well as operational support activities for the unit. Serve as a liaison with other departments and operating units in the resolution of day to day administrative and operational problems. Act as a communication conduit within all Finance departments, General Managers, and Leadership. Multitask duties, organize and coordinate meetings.
Responsibilities:
- Provide administrative/secretarial support for the division of the department such as answering phones, assisting visitors, taking detailed messages, and resolving and referring a range of administrative problems and inquiries.
- Operate personal computer and MS Word software to compose and edit correspondence and memoranda from verbal direction and from knowledge of established department / division policies: prepare, transcribe, compose, type, edit and distribute agendas and minutes of meetings.
- Update and create worksheets in Excel and maintain multiple Outlook calendars.
- Schedule and coordinate meetings, interviews, appointments, events and other similar activities for Director of Finance, Controller and Assistant Director of Finance.
- Take initiative in Manager’s absence, as well as keeping a log of activities.
- Immediately apprise management of emergency events or “fires” to be put out.
- Assist in keeping projects / deadlines / meetings on schedule.
- Arrange essential mail in priority order while purging non relevant mail.
- Relieve Management of Administrative detail.
- Follow up on incoming requests and advise management of suggested priority of requests.
- Maintain and / or develop an easy to follow filling system.
- Enhance the filing system by becoming more paperless and continuously purging aged files.
- Update and monitor delegated tasks to ensure progress to deadlines via trace files.
- Prepare office supplies order with Staples.
- Manage kitchen use and organize kitchen cleaning schedule.
- Assist in enforcing all company policies and procedures.
- All other duties as assigned.
Experience/Qualifications:
- 1 years of administrative experience (preferred).
- Proficient in typing, Microsoft Word, Excel, and telephone communication.
- Strong written and oral communication skills, with the ability to report effectively.
- Capable of analyzing data and organizing information efficiently.
- Skilled in Microsoft Word, Excel, and Outlook.
- Ability to handle numerous interruptions and multitask effectively.
- Ability to lift up to 25 lbs. consistently and 50 lbs. infrequently.
- Must be legally authorized to work in the United States.
Education and Certification(s)/License(s):
- High school diploma or equivalent (required).
