We are seeking a dynamic Marketing Coordinator / Office Manager to join our team, reporting directly to the Marketing Director. This hybrid role offers a flexible work arrangement, with in-office presence required Tuesday through Thursday at our Philadelphia office, and additional days as needed.

ResponsibilitiesIncludes but may not be limited to :

Marketing Coordinator

Event planning - assist Director of Marketing w / multiple annual events, including events thrown by the company as well as events attended by the company (conferences and exhibitions)Website content - assist Director of Marketing w / continuous material development for the website content (ie : videos, articles, etc.)Social Media content - assist Director of Marketing w / continuous material development for the Social Media posts (ie : photos, videos, white papers, etc.)Deliverables - support the development and finalization of deliverables used in the sales and client management processTools - assist in the development of sales and marketing tools used for prospecting and presentationsDocumentation - produce project / event plans for annual conferences / events / projectsCompany swag & stationary - track & purchase inventoryAnnual mailing campaigns - coordinate & producer various clients mailersCoordinate Sales Producer travel arrangements (ie : flights, hotels, transportation, etc.)Coordinate Sales Producer event registration (ie : golf tournaments, association dinners, etc.)Coordinate Producer schedules to foster collaboration to maximize acquisition of new accountsVarious miscellaneous administrative tasks as assignedTravel as needed for events and conferences to ensure set-up and support for R&P presence (exhibition / booth set-up, audio-visual needs, etc.)Office Manager

Handle the day-to-day administrative tasks of maintaining the office suite.Process incoming and outgoing mail, distribute packages, and maintain records of correspondence.Monitor office and kitchen supplies inventory and place orders as needed to maintain adequate stock levels.Order office supplies for suite and remote employees.Serve as a central point of contact for internal and external communication, relaying messages and inquiries promptly and accurately.Act as a liaison between the office and building management, addressing maintenance issues, security concerns, and facility-related needs.Oversee office equipment maintenance and repairs, liaising with vendors and service providers as necessary.Manage delivery service accounts such as UPS, FedEx, USPSOrder staff lunches as requestedConference room meeting management, overall office maintenanceQualifications

Bachelor's or Associates degree in Marketing, Communications, or a related field (preferred).2 years of assisting Executive, Sales, and / or Marketing teams and / or related experiencePrevious event planning and / or project management experience a plusProficient in Microsoft Office Suite, with expertise in PowerPoint.Highly resourceful, detail-oriented, and skilled in problem-solving and time managementStrong communication, interpersonal abilities, and a proactive learning mindsetAdept at multitasking, prioritizing, and maintaining organizational accuracy

The pay range for this position at commencement of employment is expected to be between $62,500 and $70,000 per year. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The base salary range for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors. Final offered may be outside of this range based on other reasons and individual circumstances. Additionally, salary wages may be only part of the total compensation package. The total compensation package for this position will also include eligibility for an annual discretionary bonus.
