Responsibilities
- Answering phone systems, triaging calls, taking messages.
- Transcribe legal documents, correspondence, and reports with accuracy and attention to detail.
- Assist attorneys in preparing for meetings by organizing case files and documentation.
- Interacting with clients to gather necessary information for case matters.
- Manage calendars, schedule appointments, and coordinate meetings for attorneys.
- Draft and review ancillary legal documents as needed.
- Maintain case management systems and ensure all documents are filed appropriately.
- Proofread documents for grammatical errors.
- Provide executive administrative support by managing office communications and correspondence.
Qualifications
- Proven experience as a Legal Secretary or in a similar administrative role within a law firm is preferred.
- Strong transcription skills with the ability to accurately document conversations and client meetings.
- Excellent proofreading abilities to ensure high-quality documentation.
- Proficient in Microsoft Office Suite .
- Proficient in Mac iOS, preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Exceptional communication skills, both written and verbal, with a professional demeanor.
- Ability to work independently as well as collaboratively within a team environment.
- New York State Notary preferred.
