Roy Maas Youth Alternatives (RMYA) creates brighter futures for children in crisis by promoting individual success and healthy relationships in a safe, healing environment, giving children and families the tools to end the cycle of abuse. RMYA provides treatment programs for traumatized children who most often are victims of sexual, physical, and/or emotional abuse. RMYA supports using trauma-informed techniques and relationship-based approaches to create a safe environment that provides consistency, structure, and caring for the children we serve.

Job Summary:

The Senior Accountant performs full cycle grant accounting responsibilities and assists the CFO and accounting team members in completing general accounting tasks and responsibilities according to fiscal year scheduling.

Essential Duties/Responsibilities:

Grant Accounting:

  1. Prepare and distribute monthly progress reports to reflect income recognition and expenses for each grant to internal and external stakeholders.
  2. Prepare and present monthly grant billing reimbursement invoices.
  3. Monitor and review accounts receivable balances and ensure timely collection of funds per the grant’s schedule.
  4. Assist in the development and implementation of budgets for grant applications and provide knowledge and insight for budget adjustments to current grants.
  5. Create and advance relationships and communication processes with internal and external stakeholders.
  6. Supporting the accounting staff members to oversee all charges for service grants including collaborating with the accounting team for budget preparation and revisions.
  7. Apply comprehension of grant rules and regulations in addition to GAAP to assess spending and provide direction and information to program administration staff.
  8. Ensure the integrity, timeliness, and accuracy of funding opportunities with allowable expenditures.
  9. Create and compile various financial reports according to report due dates throughout the fiscal year for the Grant Manager.
  10. Establish and maintain effective working communicative relationships with auditors and grantors as required to complete grant tasks and maintain compliance standards.

General Accounting:

  1. Lead monthly and year-end closing activities and meet associated deadlines and deliverables.
  2. Prepare, review, and approve periodic financial general ledger account reconciliation with financial records in our system.
  3. Constructing bank reconciliations monthly to ensure validity and accuracy of financial information.
  4. Conducting inventory reconciliation as per required deadlines from internal and external funders.
  5. Preparing fixed asset accounting reports at acquisition and at the end of the fiscal year.
  6. Assisting in the developing and upholding of accounting and financial policies and procedures.
  7. Comparing Income Statement Budget to Actual analysis from the fiscal year’s income statement and balance sheet.
  8. Examining the general ledger for accuracy as per the schedule with monthly and year-end accounting closings.
  9. Providing oversight over accruals and accounts payable activity and assisting other accounting personnel as needed.
  10. Collaborating with other members of accounting staff to properly allocate and code expenses from agency spendings.
  11. Assisting in the annual budget process; and in the year-end Independent External Financial Audit process.
  12. Partnering with the CFO and executive officers to produce and maintain the agency fiscal year budget.
  13. Reviewing payments and deposits initiated by accounting personnel.
  14. Supporting accounting personnel, as necessary to include training.
  15. Maintaining necessary certifications and training hours needed to fulfill job responsibilities.
  16. Supporting all RMYA policies and procedures, and actively participate in their development by proposing changes and updates as well as working on teams designed to improve how we work together.
  17. Maintaining professional and ethical standards as prescribed by RMYA.
  18. Performing special projects as assigned. 

Reporting:

  1. Accurately and timely prepare monthly and quarterly grant and financial reports with back up documentation, including ad hoc requests from various stakeholders.
  2. Thoroughly reviews incoming awards, prepares financial reports for CFO as per required schedules, identifies variances and analyzes issues of cost appropriateness and allocations.
  3. Promptly collect and prepare documents for any outside or onsite financial audits to ensure compliance with all financial reporting deadlines to grant and governmental agencies.
  4. Prepare cash flow statement and analysis.
  5. Balance sheet and profit and loss statements review and preparation.
  6. Maintain accounts receivable by subsidiary ledger with the help from designated accounting personnel and report to CFO on a monthly basis the outstanding balance and any billing or collections issues.
  7. Complete or oversee the completion of annual cost report submissions to HHSC.

Qualifications


Required Qualifications:

  • Education: Bachelor’s degree in accounting, finance or related field is required.
  • Experience: 5 years of experience in non-profit accounting and general ledger experience. Thorough knowledge of GAAP and Fund Accounting– Revenue and Expense recognition as related to nonprofits. Experience in computer data entry in accounting software, particularly QuickBooks
  • Certification/Licenses: Valid Texas driver’s license or ability to obtain within 90 days of hire. Must have and maintain acceptable driving record

  • Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Few opportunities to relax during shifts; constant walking, standing, sitting, bending, squatting, arm, and wrist rotation, reaching, twisting, kneeling, writing, typing, handling, and counting cash, and daily encounter with office supplies and equipment; frequent lifting and carrying at least 10 pounds, pushing, pulling, and occasional driving.
  • Work Environment: Willingness to work flexible hours, including evenings, weekends, and holidays. Daily use of peripheral devices, office supplies, equipment, and technology. Shifts in environmental conditions i.e., outdoor, indoor, noise, glare, and moving objects. fast-paced work using sensory demands i.e., hearing, vision, speech, spatial perception; dealing with multiple, complex, and repetitive tasks, working under pressure and precise deadlines, requires attention to detail, meeting precise standards, and some traveling. May be requested to work overtime and weekends for special program events.

Preferred Qualifications:

  • Experience: Full cycle grant experience preferred.
  • Education: Master’s degree in accounting or CPA Certification

Work Authorization/Security Clearance Requirements:

Successful clearance of Department of Family and Protective Services licensing background checks, (to include fingerprinting and drug testing) and maintenance of status providing ability to be present at an operation.
