Job Title: Event Sales Coordinator
Reports to: Clubhouse Manager
Compensation: $60,000 - $65,000 annually, inclusive of base salary commissions on sales.
Note: Sales professionals have the opportunity to control their income with no cap on commissions.
Qualifications:
- 3 years of experience in event sales or management (or equivalent relevant experience)
- Proven expertise in planning, strategizing, and executing on-premises events from start to finish
- Strong background in revenue and budget management
- Results-oriented with excellent attention to detail and organizational skills
- Knowledge of event industry best practices and procedures
- Strong negotiation and sales skills with a proven ability to influence clients
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Exceptional interpersonal, leadership, and communication skills (both written and verbal)
- Basic understanding and appreciation of food and beverage services
- Ability to work flexible hours, including nights, weekends, and holidays, as required by event schedules
- Bachelor’s degree preferred
Responsibilities:
- Lead the event planning team in delivering unique and customized experiences for clients, ensuring memorable events
- Sell event spaces creatively, aligning offerings with client budgets
- Coordinate and manage events from contract signing to execution, ensuring all details are handled seamlessly
- Develop and maintain long-term client relationships, creating positive brand experiences
- Oversee communication with clients throughout event preparation and execution to meet or exceed their expectations
- Prepare detailed and organized Banquet Event Orders (BEOs) to ensure smooth coordination with other departments (e.g., Front of House, Kitchen)
- Collaborate with Executive Chef, F&B Director, Clubhouse Manager, and FOH Managers to fulfill event needs
- Conduct site tours for both prospective and confirmed clients, ensuring all event details are arranged and confirmed
- Identify and capitalize on opportunities to upsell services
- Manage payments (deposits, balances, addendums) and work with the Accounting Department to ensure accurate transaction processing
- Oversee event setup and execution, ensuring everything runs according to plan
- Maintain an organized filing system for upcoming, in-progress, and completed events
- Maintain a detailed, updated BEO and communicate consistently with all departments involved
- Create Profit and Loss (P&L) reports as needed
- Other duties and projects as required by the business
