BRIEF SUMMARY of JOB DUTIES
Operational Oversight
- Oversee the daily operations of the medical practice, including patient scheduling, billing, and administrative workflows, to ensure seamless functionality.
- Monitor practice performance metrics, identify inefficiencies, and implement process improvements to enhance productivity and patient care.
- Manage practice policies and procedures, ensuring compliance with organizational standards and regulatory requirements.
Staff Leadership and Development
- Supervise and mentor practice staff, including administrative and clinical team members, to ensure high performance and engagement.
- Coordinate staff schedules to meet patient care demands and operational needs.
- Conduct regular team meetings, providing updates, training, and feedback to promote continuous improvement.
- Partner with the Director of Operations on staffing needs, including recruitment, onboarding, and retention strategies.
Collaboration with Physicians and APPs
- Foster strong, collaborative relationships with physicians and APPs to align clinical and operational goals.
- Support providers by addressing operational needs, resolving issues promptly, and ensuring efficient workflows that enhance patient care.
- Serve as a liaison between providers and administrative teams, facilitating clear communication and collaboration.
Financial Management
- Manage practice budgets in collaboration with the Director of Operations, monitoring expenses and ensuring financial sustainability.
- Oversee billing processes to ensure timely and accurate revenue cycle management.
- Track and analyze key performance indicators (KPIs) to support operational and financial goals.
Patient Experience and Quality Care
- Ensure patients receive exceptional service by promoting a culture of empathy, responsiveness, and professionalism.
- Address patient concerns and complaints promptly, escalating issues to the Director of Operations when necessary.
- Implement quality and process improvement initiatives to meet or exceed operational, clinical, safety, and patient experience standards.
Regulatory Compliance and Safety
- Maintain compliance with all federal, state, and local regulations, including privacy standards (e.g., HIPAA) and safety protocols (e.g., OSHA).
- Conduct periodic audits to ensure adherence to organizational policies and regulatory requirements.
- Coordinate training programs for staff to stay informed of regulatory updates and best practices.
Collaboration and Communication
- Serve as the primary liaison between the practice, patients, providers, and the Director of Operations, ensuring alignment with organizational goals.
- Collaborate with the Director of Operations on practice growth initiatives, resource planning, and performance improvement strategies.
- Build and maintain positive relationships with providers to support operational and clinical success.

EDUCATION/ CERTIFICATION & EXPERIENCE
- Associate’s degree required
- Bachelor’s degree in healthcare administration, business administration, or a related field preferred
- Minimum 5 years of experience in healthcare operations or practice management, office management.
- Proficiency in electronic medical records (EMR) systems and practice management software.
- Experience in process improvement, patient satisfaction, and staff leadership.
- Solid financial acumen.
