SUMMARY
The Admissions Supervisor is responsible for overseeing the admissions department, ensuring an efficient and participant-centered intake process for individuals seeking substance use disorder (SUD) treatment. This role includes supervising the admissions team, monitoring referrals, facilitating assessments, maintaining census goals, and fostering strong relationships with community partners and referral sources. The ideal candidate must possess strong organizational and leadership skills, ensuring the admissions process aligns with regulatory standards and program goals.
Salary range is $64,480-$79,040/annually
JOB DUTIES & RESPONSIBILITIES
Admissions Management:
- Oversee the admissions process for 245G and 245F programs, ensuring compliance with policies and regulations.
- Maintain and update admissions protocols to meet the needs of participants and referral sources.
- Monitor and manage program census to ensure bed availability and occupancy goals.
Supervision and Team Leadership:
- Supervise a team of admissions coordinators and support staff.
- Provide ongoing training and support to admissions staff to ensure accuracy, efficiency, and professionalism.
- Conduct performance evaluations and address any staff-related concerns.
- Oversee LADC assessors and ensure compliance with assessment contracts and service agreements.
Referral and Community Relations:
- Maintain strong relationships with county and HMO referral partners.
- Oversee and maintain relationships with assessment contracts in the community.
- Serve as the primary point of contact for referral sources, ensuring timely communication and coordination.
Assessment Coordination:
- Assist in facilitating assessments to ensure timely access to treatment.
- Monitor changes in levels of care for participants and ensure appropriate placement.
- Provide oversight of LADC assessors to ensure high-quality assessments and adherence to referral requirements.
Billing and Authorizations:
- Ensure proper documentation and submission of billing for assessments and admissions.
- Work with insurance providers to obtain necessary authorizations for treatment services.
- Monitor payer sources and funding eligibility for incoming participants.
- Maintain compliance with payer requirements and ensure accurate record-keeping for billing purposes.
Data Management and Compliance:
- Ensure accurate and timely documentation of admissions records.
- Assist with maintaining and auditing DAANES records.
- Ensure compliance with 245G and 245F regulations, HIPAA, and 42 CFR confidentiality requirements.
Process Improvement:
- Identify and implement strategies for improving the admissions experience for participants.
- Work collaboratively with leadership to streamline intake procedures and enhance efficiency.
On-Call Support:
- Participate in on-call rotation to provide after-hours admissions support as needed.
Other Duties as Assigned:
- Assist in policy and procedure development related to admissions.
- Participate in provider meetings and community outreach initiatives.
QUALIFICATIONS/REQUIREMENTS
Required:
- Experience working with diverse populations.
- Strong leadership, problem-solving, and organizational skills.
- Ability to manage conflicts and maintain confidentiality.
- Proficiency in Windows-based applications and Microsoft Office.
- Excellent written and verbal communication skills.
- Bachelor’s degree in behavioral health, Social Work, or a related field.
- Supervisory experience.
- First Aid/CPR certification (or willingness to obtain).
- Current Mantoux test (or willingness to obtain annually).
- Ability to pass applicable criminal history and background checks.
- Two years free of substance use-related issues.
- One year free from correctional supervision.
- Valid state driver’s license with a positive driving record.
Preferred:
- Knowledge of 245G and 245F regulatory requirements.
- Experience in admissions or intake within a treatment setting.
- LADC preferred but not required
