Classification: Hourly, part-time position
Job Relationships: Supervised by the Executive Director.
Wage: Starting wage is based upon experience.
GENERAL SUMMARY OF POSITION:
The Accounting Assistant performs daily accounting tasks that will support our organization. Accounting Assistant responsibilities include managing bills and invoices, expense reports and reimbursements, entering financial transactions into our QuickBooks online database and reconciling bank statements. Ultimately, you will help our accounting department run smoothly, ensuring transparency and efficiency in all transactions.
ACCOUNTING ASSISTANT RESPONSIBILITIES:
- Accounts payables: entering invoices, scanning, uploading attachments into QBO.
- Reconcile bills/invoices/bank statements and identify discrepancies
- Pay bills online
- Accounts receivables
- Process reimbursement forms
- Manage bill paying calendar
- Meet with Executive Director weekly to discuss finances
- Prepare bank deposits and bring to banks, scan all supporting documents
- Enter financial transactions into QuickBooks database
- Maintain digital and physical financial records
- Issue invoices
- Review and file payroll documents
- File WI sales tax monthly
- Participate in annual audits
- Assist with 1099’s
- Answer phone calls from employees, vendors and overflow guest service line
- Other duties as assigned
Qualifications:
· high school diploma or equivalent
- Work experience as an Accounting Assistant or Accounting Clerk
- Knowledge of basic bookkeeping procedures
- Familiarity with finance regulations
- Good math skills and the ability to spot numerical errors
- Hands-on experience with MS Excel and accounting software (e.g. QuickBooks)
- Organization skills

- Ability to handle sensitive, confidential information
MENTAL & PHYSICAL REQUIREMENTS:
Reasoning:

Mathematical:
· Addition, subtraction, count, copy figures, record documentation.
Language:
· Able to speak, hear, and comprehend the English language

Physical – must be able to sustain a full 8-hour day of:
· minimal to heavy lifting at times, bending, squatting, twisting, overhead reaching, standing, and walking
· Ability to work with/around cleaning chemicals
· able to perform medium lifting (frequently lift 0-25 lbs. and occasionally lift up to 50 lbs. or up to 75 pounds with assistance.)
· able to perform the following physical activities:
Standing bending/stooping reaching about shoulder level
Squatting pushing/pulling crouching
Sitting lifting/carrying grasping/repetitive motion
Talking hearing kneeling
Walking hands and knees
