Posting Summary
Rutgers, The State University of New Jersey is seeking an Accounting Assistant II, AP for University Procurement Services. Reporting to an Accounts Payable (AP) Expeditor, this position serves as an AP Processor and is responsible for processing a portion of the University’s Purchase Order related invoice obligations totaling over 350,000 invoices annually for entry into the University’s financial system and ultimate payment from Oracle to the appropriate Supplier.

Among the key duties of this position are the following:
  • Accurately and independently processes all Purchase Order invoices for payment by matching individual invoice lines to on-line Purchase Order lines using an automated Accounts Payable Interface System.
  • Analyzes duplicate exception invoices that import into the Digital Mailroom
  • Reviews details to ensure that invoices represents the actual goods or services ordered.
  • Independently addresses issues with end-users and engages with Category Analysts and others in University Procurement Services on a daily basis related to invoice processing.
  • Advises supervisors of issues that may result in any service interruptions.
  • Ensures accurate records and comments in Marketplace regarding invoice and PO issues when appropriate, and maintains clear and accurate documentation of all correspondence and follow-up as needed.
  • Reviews invoices for sales tax and adjust for exemption if appropriate.
  • Conducts research on payment information in university systems such as Marketplace and Oracle Financials.
  • Provides exceptional, timely and effective customer service.
  • Engages with suppliers and staff at all levels of the university, serving as a direct resource.
  • Reviews Purchase Order balances and ensures Units supplement orders as needed.
  • Requests remit-to address updates from Supplier Maintenance as needed.
  • Alerts supervisors to problems with invoices, Suppliers, or Units as required.
  • Performs other related duties as assigned.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience
  • Bachelor’s degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, bookkeeping and/or report writing.

  • Good communication skills and computer literacy.
  • Must have good interpersonal, organizational, math and analytical skills.

Immunization Requirements

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are vaccinated against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Rutgers University may require certain prospective employees to receive an updated (bivalent) vaccine dose. Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption. Additional infection control and safety policies may apply.
