Position Overview:
Mint Law Firm is looking for an outgoing and personable Legal Intake Specialist to join our team. The ideal candidate will be confident, approachable, and have a passion for assisting clients during some of the most significant times in their lives. You will be the first point of contact for clients seeking legal help in estate planning and family law matters. This role requires someone who is comfortable speaking with clients, gathering essential case details, and guiding them through the initial stages of the legal process.
Key Responsibilities:
- Serve as the primary point of contact for potential clients, answering phone calls, emails, and online inquiries with a friendly, professional, and approachable demeanor.
- Effectively communicate the firm’s services and help clients feel comfortable during their first interaction with us.
- Gather essential information from prospective clients regarding their legal needs in estate planning or family law matters.
- Assess whether the client’s situation aligns with the firm’s practice areas and direct them to the appropriate attorney or next steps.
- Schedule consultations with attorneys and ensure clients are prepared for their initial meetings, providing them with relevant information or forms.
- Maintain detailed and accurate records in the firm's case management system, ensuring proper documentation of client information and case details.
- Follow up with clients as needed, confirming appointments, answering additional questions, and providing ongoing support.
- Ensure a smooth and positive client experience from initial contact to consultation.
- Adhere to confidentiality requirements and ethical standards while handling sensitive client information.
- Collaborate with the legal team to ensure a seamless transition from intake to case management.
Qualifications:
- Minimum of 2 years of experience in estate planning or family law.
- Exceptional communication and interpersonal skills, with a strong ability to engage clients and establish rapport quickly.
- Outgoing, friendly, and professional personality with a genuine passion for helping clients.
- Strong organizational skills and attention to detail.
- Comfort with using case management software and Microsoft Office Suite.
- Ability to prioritize tasks effectively and manage a fast-paced environment.
- Knowledge of estate planning and family law terminology, processes, and documentation.
- Ability to maintain confidentiality and adhere to legal and ethical standards.
Preferred Skills:
- Prior experience in a client-facing role or legal intake position.
- Familiarity with the estate planning or family law process.
- Strong multitasking skills, with the ability to handle several cases at once while maintaining excellent client service.
