Position Summary
Provide administrative support to the Executive Director and Assistant Director of the Upward Bound Program in all aspects of grant management.
The Administrative Assistant is responsible for a variety of tasks including student and personnel management, scheduling, record-keeping, coordination of activities, and internal and external communication.
This is a part-time, non-benefits eligible position.
Principal Duties & Responsibilities
- Create and process documents related to daily operations of the program.
- Maintain general programmatic files related to students and program personnel.
- Coordinate and supervise the input / output of information regarding student files.
- Create and manage student schedules and report cards for the summer component of the program.
- Responsible for all processing, documentation, and record keeping of program expenditures.
- Coordinate all duties of the central office for full and part-time staff, including verification and processing of payroll.
- Coordinate communication between internal staff and external constituents and participants.
- Work with the City of Bridgeport to coordinate all transportation needs of program participants, including planning itinerary for end of the year trip.
- Schedule all Upward Bound events, activities, workshops, and trips.
- Ensure files and database meet departmental needs of the project as per the Department of Education's requirements.
Knowledge, Skills, Abilities, & Other Requirements
- Must have a high school diploma or GED; Associate's degree preferred.
- A minimum of three years administrative experience in word-processing and database management is required.
- Proficiency in English and Spanish is preferred.
- Proficiency in Microsoft Office (Excel & Word) and Google Docs.
- Demonstrated commitment to fostering inclusivity in a diverse educational program for youth and families.
- Excellent interpersonal and communication skills.
- Ability to work independently.
- Exhibit respect and consistently maintain professionalism.
