Safety Worx is seeking a detail-oriented Admin Assistant/Data Entry Clerk to join our on-site team in the Austin Metro area for a long term project. This role requires a proactive professional who thrives in a fast-paced environment, managing high-volumes of data entry, coordinating safety documentation, and office management. The ideal candidate will have strong organizational skills, impeccable attention to detail, excellent communication abilities, and proficiency in Microsoft Excel.
Responsibilities:
- Data entry
- Collect, track, and submit large volumes of safety data using Excel and other reporting tools.
- Review and verify that all required permits, safety documents, and regulatory paperwork are correctly completed before submission.
- Track and report daily headcounts of employees and contractors.
- Communicate with field personnel and management to ensure accurate and timely data reporting.
- Maintain organized safety records and databases for easy retrieval.
- Assist with office operations, ensuring administrative tasks are handled efficiently.
- Maintain office supplies and coordinate procurement when necessary.
- Assist in scheduling meetings and training sessions as required.
- Organize and maintain digital and physical filing systems.
- Train new hires in document submission processes and ensure understanding of required administrative procedures.
- Assist in preparing training materials and presentations.
- Perform other administrative and safety-related tasks as needed to support project requirements.
Qualifications:
- High school diploma or equivalent.
- 2-3 years of experience in an administrative role.
- Experience handling high-volume data entry and document review.
- Proficiency in Microsoft Excel (pivot tables, data entry, basic formulas).
- Ability to extract, analyze and report data accurately and efficiently.
- Comfortable using WhatsApp, email, and other communication tools for high-volume message management.
- Strong attention to detail and organizational skills.
- Excellent communication abilities.
- Ability to work independently and proactively solve problems.
Preferred:
- Experience in a safety-related administrative role, construction, or industrial environment.
- Experience with safety documentation, compliance auditing, or office management.
- Associate’s or bachelor’s degree in business administration, safety management, or a related field.
