Enrollment Coordinator

Under the supervision of the Associate Vice President for Enrollment Management and Student Affairs, the Enrollment Coordinator serves as the secondary contact for veteran students, their families, school counselors, and other individuals or organizations involved in the college selection process. This position is responsible for educating the community and educational partners about Saint Elizabeth University and Veterans’ Benefits at our institution. The Enrollment Coordinator is responsible for maintaining accurate data in the student information database, SLATE CRM, and assisting with the communication flow to prospective students. This position also supports the recruitment team by covering recruitment events when time conflicts exist and assists with special programs and projects as needed. This position also includes evening and weekend hours. The incumbent must possess a strategic and curious mind with an ability to communicate and create interest in the University with prospective students. This professional must be enthusiastic, people-oriented, and enjoy working with high school, transfer, graduate, and adult students. The ideal employee will have excellent organizational and communication skills—to address the needs of the Office of Admissions and the Enrollment Management and Student Affairs Division.
Essential Duties and Responsibilities
Office of Admission Functions:
- Prepares source data (inquiries, applications and documents) for computer entry by compiling and sorting information; establishing entry priorities. This includes both hard documents and electronic retrieval of source data.
- Processes documents/data by reviewing for deficiencies; and resolving discrepancies by using standard procedures or admission staff members for resolution.
- Assist with general application processing & maintenance of recruitment materials.
- Maintains data entry requirements and operations by following data program techniques and procedures and working with administrative computing to facilitate resolution.
- Generates and processes personal correspondence & emails as well as generate mailings and emails.
- Assist in the development of new procedures and programming changes to improve the efficiency of data management including testing and upgrades to administrative system.
- Assist in the development and maintenance of reports to provide accurate information and data.
- Assist with all on-campus admission planning and execution.
- Assist with special programs and projects as they arise.
- Provide general clerical support as needed.
- Performs other duties as assigned relating to enrollment at the college.
School Certifying Official for VA Benefits: (Secondary Contact)
- Serves as the primary Certifying Official for all VA education benefits. Prepares individual student enrollment certification requests. Verifies the accuracy of Banner enrollment data and confirms the eligibility of each VA student certified. Input certification data into the University Database. Maintains appropriate certification records and supporting documents in accordance with VA Regulations, State Approving Agency Standards, and University policies.
- Implements controls and audit checks to protect against institutional liability. Monitors the enrollment and academic performance of each VA student to the VA in accordance with VA regulations and University policies: reports all subsequent changes of program and/or registered hours to the VA. Ensures that each VA student is pursuing a VA approved program of study; consults with faculty advisors to ensure that every course for which a veteran student is certified fulfills a degree requirement. Maintains a working relationship with other University administrative and academic offices to ensure accurate and timely reporting of student status to the VA Regional Office.
- Serves as a resource person for all VA educational information: interprets and advises all VA students regarding VA regulations governing the receipt of their VA educational benefits and programs. Researches and responds to all inquiries regarding all VA certifications; contacts the VA on behalf of the VA students to resolve and/or clarify discrepancies.
- Tracks the progress of VA students pursuing acceptance into specific degree programs; maintains written and verbal communication apprising them of the VA parameters of certification, while not accepted to a specific program.
- Coordinates timely filing of all VA, TA and VR&E documentation ensuring all paper and computer records are adequately safeguarded and properly retained and assist in the development and revision of office policies and procedures, as required.
Qualifications
- Bachelor's degree, Master’s degree preferred from an accredited college or university.
- 1 years of experience with admissions, marketing, or sales.
- Valid driver’s license from state of residency.
- Availability and willingness to work evenings and weekend hours.
- Excellent professional demeanor.
- Proficiency in using Slate, Thesis Element Student Information System (Preferred), Microsoft Office Suite, Canva, and social media platforms.
- Ability to read and comprehend technical manuals.
- Excellent listening, communication, interpersonal and relationship-building skills with the ability to communicate clearly in person and writing.
- Ability to establish and maintain effective working relationships with other employees, students, and the public.
