Administrative Assistant
We are looking for a dedicated and organized Administrative Assistant to join our parish community. The ideal candidate will be responsible for providing comprehensive administrative support to the parish, ensuring smooth and efficient operations
This role requires excellent communication skills, and the ability to manage multiple tasks simultaneously.
The Administrative Assistant will be the first point of contact for parishioners and visitors, handling inquiries, scheduling appointments, and maintaining parish records.
The successful candidate will work closely with the parish staff and volunteers to support the mission and activities of the parish.
Key responsibilities include managing correspondence, incoming calls, coordinating events, and maintaining records. The Administrative Assistant must be proficient in office software, have strong organizational skills, and be able to work independently as well as part of a team.
This position requires a compassionate and service-oriented individual who is committed to the values and mission of the parish.
Responsibilities
- Manage all incoming and outgoing correspondence.
- Coordinate and schedule appointments and meetings.
- Maintain parish records and databases.
- Assist with the planning and coordination of parish events.
- Handle inquiries from parishioners and visitors.
- Assist with managing the parish calendar and schedule of events.
- Maintain reports.
- Assist with ordering office supplies and equipment.
- Support and report to the interim pastoral associate for operations, and assist the sacramental minister and staff with administrative tasks.
- Coordinate volunteer activities and schedules.
- Assist with fundraising activities and campaigns.
- Ensure compliance with parish policies and procedures.
- Perform other duties and tasks as assigned
- Provide general office support and reception duties.
- Assist with the preparation of annual reports and documentation.
Requirements
- Previous experience in an administrative or clerical role.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Ability to handle multiple tasks and prioritize effectively.
- Strong interpersonal skills
- Attention to detail and accuracy in work.
- Ability to work independently and as part of a team.
- Familiarity with parish operations and Catholic traditions.
- Experience with Parish database system/management and record-keeping.
- Strong problem-solving skills and ability to handle emergencies.
- Proficiency in using office equipment such as printers, copiers, and fax machines.
- Commitment to the mission and values of the parish.
- Valid driver's license and reliable transportation.
