Job Overview
We are seeking a dedicated and experienced Property Manager to oversee the daily operations of our residential and commercial properties as assigned. The ideal candidate will possess strong leadership skills, a comprehensive understanding of property management, and a commitment to maintaining high standards of tenant satisfaction. This role requires expertise in leasing, maintenance, and conflict resolution, ensuring that all properties are managed efficiently and effectively.

Responsibilities
ESSENTIAL FUNCTIONS
Leasing and Marketing (Residential - 68 Apartments)
- Research competition and set Market Rents for apartments every month.
- Maintain and manage residential marketing websites and post apartment availability on marketing websites. Provide community manager with an updated email template concerning current availability.
- Show apartments to prospective tenants.
- Supervise and direct community manager, who handles most evening and weekend tenant issues, lock-out calls, and leasing appointments. Back-up community manager and engineering on lock-out calls and other tenant emergencies as needed.
- Make leasing decisions for residential properties in the portfolio.
- Negotiate and prepare leases, lease renewals (with annual base rent and periodical rentable item increases) and amendments. Update documents as needed to stay current with landlord-tenant laws and moratoriums.
Leasing and Marketing (Commercial), in collaboration with Director of Real Estate and Commercial Property Manager
- Research competition and set Market Rents for commercial spaces regularly. Determine improvements needed to rent vacant spaces.
- Maintain and manage commercial marketing websites and post retail availability on marketing websites monthly.
- Show commercial spaces to prospective tenants.
- Negotiate commercial deals on a case-by-case basis.
- Negotiate and prepare lease renewals. Update documents as needed to stay current with landlord-tenant laws and moratoriums.
Property Management
- Manage tenant relations, providing exemplary customer service and timely information to tenants, including after-hours communications on emergent issues.
- Train and supervise Community Manager, providing guidance, feedback, and direction as needed.
- Coordinate tenant move-ins and move-outs with backup from Community Manager, including completing relevant documentation, providing/obtaining access and key cards to building, parking and garage and transferring utilities and in-person building orientation.
- Direct building engineers on apartment and retail turns, coordinating cleaners, painters, and other vendors as needed. Foster an environment that allows engineers to share their expertise and offer solutions with regards to work orders and turn work.
- Enforce lease provisions including charging late fees and issuing 10-day and 14-day notices, hiring attorneys when necessary. Must stay current on housing laws.
- Maintain accurate records of all correspondence/communication, contracts, tenant emergency list, and tenant and building files.
- Manage building operations to protect assets, providing a high level of service while controlling costs:
a. Respond to emergent maintenance issues and dispatch Samis Engineers, following up to confirm completion.
b. Monitor effectiveness of security measures taken at each building, suggesting improvements and corrections as needed. Create S drive folders with camera footage, photos, and police reports regarding security incidents.
c. Utilize the Yardi work order system when a maintenance issue is not emergent.
d. Coordinate scheduling of routine maintenance and common area cleaning with Samis Engineers and vendors.
e. Inspect buildings weekly.
f. Maintain property condition reports.
g. Inspect other portfolio properties monthly.
- Coordinate with Engineering to implement Fire Life Safety program including issuance of equipment, maintaining manuals and conducting fire drills, including communicating in advance the timing of drills to residents.
- Answer emergent emails and phone calls on evenings, holidays and weekends. Responding to communications in the residential leasing email and on the leasing phone when the Community Manager is unavailable.
- Provide regular communication with tenants on neighborhood events, construction updates, current promotions, safety procedure reminders, and building-related activity.
- Manage Luxer package delivery system, troubleshooting electronic and physical issues with the system. Monitor package deliveries on the Luxer website and on the property, delivering packages into the system as needed.
- Assist community manager in coordinating resident events.
- Manage Hartford office security and impacts on employees. Oversee security guard and security contract, communicating immediate needs to guard, finding temporary replacements as needed, and notifying employees of any variations in the guard’s schedule.
ADDITIONAL RESPONSIBILITIES
- Promote Samis interests through involvement in community and professional organizations.
- Provide back-up to the Commercial Property Manager.
- Manage and implement special projects.
- Perform additional duties as assigned.
EDUCATION AND EXPERIENCE
- College degree or related equivalent experience.
- Three (3) years of property management experience.
- Knowledge of Yardi, CommercialCafe and RentCafe accounting and property management software.
Proficiencies
- Comprehensive knowledge of all aspects of the property management industry.
- Good written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person, and over the phone.
- Accurate typing/keyboarding skills; basic computer skills, including the use of Microsoft Office Suite.
- Knowledge of office equipment and procedures, including filing, scanning, copying, etc.
- Ability to take initiative and prioritize tasks; good time-management, problem-prevention, and problem-solving skills.
- Ability to work independently and as part of a team; ability to motivate self and others.
- Ability to lead a team.
- Ability to work accurately with close attention to detail.
- Ability to work with co-workers, customers, clients, and outside agencies professionally and tactfully.
