We are seeking a dynamic, highly organized Executive Assistant/Office Coordinator to join our team. This critical role provides executive-level administrative support while ensuring the efficient day-to-day operation of our office.

Key Responsibilities
Executive Support
- Coordinating and managing the calendar of the President/CEO, Directors, other team members, and outside consultants.
- Assisting in the preparation of meetings for the Board of Directors, Committees and Working Groups. This includes sending meeting notices, creating agendas, putting together meeting packets, drafting minutes, and sending meeting recaps.
- Drafting memos and emails as required.
- Ordering catering for meetings and travel arrangements as needed.
Office Coordination
- Oversee the daily operations of the office, including managing supplies, equipment, and vendor relationships.
- Serve as the main point of contact for IT and facilities management.
- Maintain organized records and documentation in compliance with office policies.
Administrative Support
· Assists with Partnership events such as Awards Gala, Legislative Networking Reception, and Economic Forecast Summit by coordinating with vendors, collecting RSVPs, and helping with setup and check-in.
- Answer phone calls, respond to inquiries, and direct communications to appropriate team members.
- Assist in planning and executing events, meetings, and workshops.
- Provide support for special projects as needed, ensuring high-quality outcomes within deadlines.
- Maintain and update contact databases and email distribution lists.
· Perform other related duties as requested or as responsibilities dictate.
Qualifications
- Bachelor’s degree in business administration, communications, or a related field (preferred).
- 1-2 years of experience as an executive assistant, office manager, or in a similar role.
- Exceptional organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management software is a plus.
- Proven ability to handle sensitive information with discretion and maintain confidentiality.
- Self-motivated, adaptable, and capable of working independently or as part of a team.
Schedule and Compensation
Salary is $23 per hour, plus an attractive benefits package that includes: employer paid medical, dental and vision insurance, Simple IRA plan with a 3% employer match in contributions, 2 weeks paid vacation, 48 hours personal leave, 80 hours sick leave, and 10 paid holidays annually. May need to work some evenings and weekends.
Office hours are 9:00 a.m. until 5:30 p.m. Monday – Thursday and 9:00 a.m. – 1:00 p.m. on Fridays, which constitutes a full-time 34-hour work week, 73.67 hours per pay period or 1,768 hours per year. Employees will be expected to work 7.5 hours between the hours of 9:00 a.m. and 5:30 p.m. Occasionally, the staff may be required to assist with early morning or evening events which may necessitate altering starting and ending shift times on a particular day to avoid the need for overtime.
