We are seeking a highly organized and professional Project Coordinator to join our team. The Project Coordinator will perform various administrative and construction activities, assisting the Facilities Manager and Project Manager. The desired candidate will be available full-time, Monday through Friday, and is an individual with previous administrative experience who is ready to roll up their sleeves, pays close attention to detail, has excellent foresight of potential problems, and possesses a positive attitude.
Duties and Responsibilities:
- Continuously monitor progress on projects and orders
- Provide detailed project updates to the team and HOA Board
- Organizing reports, invoices, contracts, and other financial files for easy access
- Plan meetings and organize reports
- Assist with specific administrative tasks such as ordering supplies and materials, follow-up with ETAs, monitoring vendor invoices for correct quantities and pricing, processing receipts and invoices, updating reports, reviewing contracts and other financial files
- Effectively work closely with the Project Manager and Facilities Manager to consistently keep them well-informed of upcoming commitments and responsibilities
- Direct project correspondences by preparing and reviewing project proposals, memos, and email
- Create long-term and short-term plans, including setting targets for milestones and adhering to deadlines
- Make effective decisions when presented with multiple options for how to progress with the project
- Serving as a point of contact for the department, local government officials,
- and HOA Board
- Obtain permits and manage timelines, deadlines, and workflow
- Foresee potential problems and technical hitches; develop solutions
Requirements and Qualifications:
- High school diploma or GED equivalent required; some college work preferred
- 3 years of proven administrative project management
- Excellent grammar and punctuation for writing clear, concise emails and letters
- Well-versed in Microsoft Word and Excel, Adobe, and QuickBooks
- An outstanding communicator, both orally and written
- Self-starter who works well independently
- Ability to prioritize given tasks and work efficiently towards completing them in a timely manner
- Detail-oriented and exceptional organizational skills
- Experience with complex file management
- Strong problem solver and analytical thinker
- Professional demeanor
