JOB SUMMARY:
Sandin Law is seeking a customer service-oriented Office Manager to provide support and administration to a team of attorneys and paralegals engaged in practices of estate planning, probate, trust administration, estate litigation, guardianship and conservatorship proceedings, business planning, and real estate.
The ideal candidate is a team player who shares our desire to deliver an outstanding experience for our clients while helping the internal office to run smoothly. Since this position involves frequent communication with all employees and our clients, we desire a candidate who is friendly, confident, and courteous with excellent written and verbal communication skills. The ideal candidate will exhibit competence, integrity, and professionalism with our clients and their colleagues.
ESSENTIALS FUNCTIONS:
- Office Support/Team Support
- Organize and analyze a range of information, from client information to form documents
- Create and maintain databases and files, in both paper and electronic formats
- Update CRM (Customer Relationship Management) system with new leads and contacts as they come in
- Mail engagement letters and legal correspondence
- Maintain task templates for matters
- Assist with administrative marketing tasks
- Accounting Support
- Assist with Accounts Receivable processing, collection, and investigation
- Assist with Accounts Payable process and investigation
- Create and send invoices
- Perform other duties as assigned
- Ancillary Duties
- Business-related errands
- Process daily mail, greet visitors, and answer phones
- Assistance with event/meeting support and coordination
- Other administrative tasks as assigned
KNOWLEDGE, SKILLS & ABILITIES:
- Ability to quickly transition between tasks as needed (multitasking) and balance shifting priorities
- Ability to work well independently as well as adhere to directions from the team
- Keen attention to detail and highly organized
- Strong verbal/written communication skills with ability to communicate effectively in a polished, professional, and friendly manner
- Desire and flexibility to contribute to a fast-paced team and company
- Self-motivated and able to regularly complete repetitive, scheduled tasks
- Proven ability to provide an exceptional service experience to our clients
- Ability to understand and adhere to strict confidentiality standards
QUALIFICATIONS:
- Bachelor's Degree in Business or related discipline preferred
- 2 years of relevant experience in a professional office environment
- Experience with Microsoft Office Suite (Word and Excel preferred)
WORKING ENVIRONMENT: The majority of work is performed in a professional office setting with interaction with a wide variety of people with differing functions, personalities, and abilities.
