Position Status: Hourly, 1.0 FTE (40 hours/week), M-F

The Team

The Operations Team is responsible for the day-to-day programs and activities at Saving Grace. Making up the largest team, they ensure excellent care and treatment for the animals in our programs and the people who care for them, with a goal of keeping pets and their people together. 

The Position

Responsible for strategic leadership and direction to ensure efficient and smooth shelter operations and program oversight, including Animal Care, Customer Relations, Foster Care, facilities, and staff onboarding/offboarding. Drives continuous improvement, with a strong focus on the mission, vision, and best practices. In addition, managing structure and staff, developing systems and processes that maximize department and organizational effectiveness.

Essential Responsibilities

  • Manage day-to-day implementation and support for key activities including coordination with other teams implementing complementary activities

PRIMARY RESPONSIBILITIES

Duties may include, but are not limited to the following:

  • Fiscal management including budgeting, revenue generation, and expense management, ensuring alignment with established policies and financial goals
  • In conjunction with the ED & Medical Director, ensure shelter standards are regularly evaluated and met to the best capacity agreed upon by the leadership team
  • Being visible as the driving force of change, growth, and the standard bearer in helping to maintain a healthy organizational culture, ensure all operational staff are meeting expectations of their jobs
  • Ensure all records (people, animal, & facility related) are being kept properly in accordance with state and federal laws.
  • Monitor and oversight of supply purchasing, including but not limited to cleaning and care supplies, animal supplies, and office supplies to ensure adequate stock and most cost-effective purchasing
  • Coordinates the euthanasia program for shelter and public domestic animals and ensures proper staff training of euthanasia through the state EBI program. In collaboration with the Medical Director, manages the shelter DEA license, ordering, drug logs and ensures all paperwork is completed in a legal manner
  • Ensure accurate data collection is performed at all levels of shelter operation and provide regular reports and statistics as requested by administrative staff
  • Actively encourages volunteer participation; collaborates with the Volunteer Engagement Coordinator to use volunteers in reciprocal ways and build our programs
  • Collaborates with Medical Director to ensure efficient pathway planning, animal flow while supporting Operation Managers
  • Leads collaborations for Operations teams with Development/Communications departments and participates in events for fundraising, community outreach, and adoptions
  • Meets often with the Executive Director to develop long-range programing, organizational strategic initiatives, goals, and regularly reviews policies and procedures
  • Develops and maintains excellent working relationships with other community agencies, organizations, vendors (including but not limited to our partnership with Douglas County Animal Control), acting as a SGHS liaison
  • Prepares primary schedule and ensures all operational shifts are sufficiently covered
  • Ensures that facilities including the building, parking lot, and equipment are maintained in safe and efficient operating condition and promptly addresses any issues that arise. Maintaining a yearly facilities plan and routine inspection log
  • Responsible for leading the Onboarding & Offboarding journey as well as twice-monthly staff Payroll
  • Safety management and emergency preparedness, ensuring a compliant and safe work environment, promptly addressing hazards as they arise, planning drills, in preparation for emergencies being facility, animal, or county related

SUPERVISOR RESPONSIBILITY

Supervises: Canine Care Manager, Feline Care/Shelter Health Manager, Foster Manager, Customer Relations Manager

ACCOUNTABILITY

Reports Directly To: Executive Director

Minimum Qualification & Transferable Skills

  • 3 years related work experience, including progressively complex project and/or people management responsibilities
  • Experience developing and managing people and projects to achieve and/or exceed organizational goals and objectives
  • High school diploma or equivalent
  • Excellent verbal and written communication skills-able to exercise sound judgment and maintain a professional demeanor during all interactions with the public, partner agencies, donors, staff, and volunteers
  • Able to demonstrate discretion, integrity and confidentiality when dealing with personnel issues, financial issues, and intellectual property
  • Proficiency using the Microsoft Office Suite, including Outlook, Word, Excel
  • Ability to work well with, help guide and train new staff and volunteers within the organization
  • Conflict resolution with the ability to diffuse emotional situations and react calmly and effectively in emergency situations

Preferred:

  • Experience in animal welfare organization or animal control program
  • Trained and experienced in animal euthanasia, through state EBI program

Work Environment Conditions & Physical Requirements

This position interacts with and collaborates with all levels of the organization, including staff, leadership, donors, general public, external vendors, volunteers, and supporters. Contact and communication are conducted through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional, and respectful in all circumstances.

WORKING CONDITIONS

  • Work is performed in an office and medical clinic/animal shelter environment. Contact with emotional people may occur.
  • Occasional weekend and evening work may be required, some on-call as planned
  • Animal contact and related injuries and exposures may occur.
  • Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.
  • Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion.
  • This position requires driving, valid driver’s license and clean driving record is required.

PHYSICAL REQUIREMENTS

  • Occasional lifting and moving of inanimate objects weighing up to 50 lbs.
  • Occasional pushing and pulling of carted items weighing up to 100 lbs.
  • Occasional moving items above shoulder, and/or use of hands and arms at or above shoulder level
  • Prolonged standing, sitting, and/or stooping may occur
  • Occasional climbing and bending
  • Must be able to lift, move, restrain, guide, or manage an animal weighing up to 150 lbs. on a leash on an occasional basis
  • Must be able to remain in a stationary position for prolonged periods
  • Ability to respond and perform life saving techniques in an emergency

Salary Hiring Range: $24-26/hour
