The Team
The Development & Community Engagement Team is responsible for solicitating gifts from individuals, corporations, and foundations while strengthening our engagement in Douglas County. This team collaborates closely with the ED, the board, and other key stakeholders across the organization to deepen donor engagement and increase support for Saving Grace priorities through various channels and approaches.
The Position
The Volunteer Coordinator is responsible for managing and growing the volunteer program to support the mission and operations of Saving Grace. This role involves recruiting, training, and retaining dedicated volunteers, fostering an inclusive and supportive environment, and collaborating with staff to maximize the impact of volunteer efforts across the organization.

PRIMARY RESPONSIBILITIES
- Manage the volunteer program to maximize volunteer commitment and retention. Provide consistent support and leadership, so that the volunteers develop confidence, ownership, and dedication to the organization
- Help to create an environment where all volunteers feel welcome and appreciated by rewarding and recognizing volunteers on an ongoing basis
- Provide coaching and feedback to volunteers, including correction and discipline, and dismissal when necessary
- In cooperation with the Leadership Team, analyze and determine areas where volunteers can be most effectively used, working collaboratively to create training materials and determine volunteer needs and scheduling
- Create and manage the volunteer schedule and make it available to all departments
- Train and encourage staff to work effectively and cooperatively with volunteers. Provide guidance, support, resources, and tools to staff who supervise and work with volunteers
- Conduct regular, on-going volunteer orientation and training opportunities including maintaining and updating the volunteer handbook
- Ensure all volunteers have signed liability waivers, background checks when applicable, and are aware of safety protocols prior to starting work with Saving Grace
- Develop and implement opportunities and systems to recruit new volunteers and establish positive ongoing relationships with current volunteers
- Establish a system of open communication and provide space for volunteer feedback to improve the program, ensuring opportunities align with both volunteer and organizational wants and needs
- Coordinate volunteer opportunities for community service, work experience, and school and community groups, for ongoing and/or special projects
- Develop and regularly update volunteer position descriptions and criteria for training and evaluating, making volunteer opportunities as accessible as possible
- Actively communicate with volunteers regarding Saving Grace policies, procedures, events, and opportunities via weekly email newsletters and Facebook Group updates
- Oversee and strategically utilize a volunteer leadership team, ensuring adequate and diverse representation, to help run the volunteer program
- Maintain accurate records of volunteer activities, including time and duties, using volunteer management software and encourage volunteers to consistently log their hours and activities
- Generate detailed reports, statistics, and data to evaluate program performance and support organizational goals
- Cross train with the Community Engagement Coordinator to serve as a backup point of contact
- Carry out other special projects as assigned
SUPERVISOR RESPONSIBILITY
Supervises: Volunteers – volunteers' range in age from elementary school age to adults
ACCOUNTABILITY
Reports Directly To: Development and Communications Manager
Minimum Qualification & Transferable Skills
- A minimum of High School Diploma or equivalent work experience, education, and/or training relevant to the work described
- Able to exercise sound judgment and maintain a professional demeanor during all interactions with the public, partner agencies, donors, staff and volunteers
- Proficiency using the Microsoft Office Suite, including Outlook, Word, Excel.
- Excellent verbal and written communication skills - able to communicate with a diverse population in a consistently informative, respectful and professional manner
- Able to learn and adapt to new software programs including but not limited to Canva, Constant Contact, and Volunteer Management Software
- Ability to work well with, help guide and train new staff and volunteers within the organization.
- 1 years of relevant professional experience
Preferred:
- Associates degree
- Previous experience coordinating people and/or volunteers of all ages
- Previous experience in a nonprofit and/or animal welfare organization
Work Environment Conditions & Physical Requirements
This position interacts with and collaborates with all levels of the organization, including staff, leadership, donors, general public, external vendors, volunteers, and supporters. Contact and communication are carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional and respectful in all circumstances.
WORKING CONDITIONS
- Work is performed in an office and medical clinic/animal shelter environment. Contact with emotional people may occur
- Occasional weekend and evening work may be required
- Animal contact and related injuries and exposures may occur
- Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations
- Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion
- This position requires driving, valid driver’s license and clean driving record is required
PHYSICAL REQUIREMENTS
- Occasional lifting and moving of inanimate objects weighing up to 50 lbs.
- Occasional pushing and pulling of carted items weighing up to 100 lbs.
- Occasional moving items above shoulder level
- Occasional use of hands and arms at or above shoulder level
- Prolonged standing, sitting and/or stooping may occur
- Occasional climbing and bending
- Must be able to lift, move, restrain, guide, or manage an animal weighing up to 150 lbs. on a leash on an occasional basis
- Must be able to remain in a stationary position for prolonged periods
- Ability to respond and perform life saving techniques in an emergency
