Essential Duties and Responsibilities:

We are currently seeking a full-time Professional Assistant for the Shared Services Department, reporting to the Manager of Administration. This role requires on-site presence in the NYC office, with work-from-home requests subject to approval by the Manager of Administration.
Responsibilities:
• Type, proofread and format all types of correspondence and Tax Arrangement Letters for the Firm.
• Prepare FedEx and Certified mailings when requested.
• Save all returns, reports, documents and forms to the Firm’s document managing system (GFR), and route workflows when appropriate.
• Create barcode pages for source documents to be scanned into GFR.
• Process and finalize monthly billings and retainers to clients.
• Provide backup to Tax Processing and E-File teams as necessary:
• Experience with GFR, CCH Axcess, and SafeSend is preferred for technical support.
• Business or Business Casual attire is required at all times.
Qualifications:
Maintains confidentiality in all aspects of position. Maintains the ability to use grammatical, spelling and punctuation skills effectively. Must have excellent organizational skills and the ability to multi-task. Possesses excellent interpersonal skills as well as a cooperative and dependable personality.
• Proficiency in Microsoft Office, specifically Word, Excel, Outlook and Teams, is required.
• Prior experience in a Tax/Accounting firm is strongly preferred.
• Must be able to type a minimum of 60 WPM.
• Must be able to sit for extended periods of time.
• Expected workweek is 37.5 hours, 8:30-5:00 Monday – Friday.
• Vacation blackouts, OT and availability on Saturdays required from Feb. 15th – April 15th, and Sept. 1st – Oct. 15th.
