What are the responsibilities and job description for the Construction Administrative Assistant position at Saybr Contractors, Inc.?
Saybr Contractors, Inc. is seeking an experienced Office and Project Coordinator to provide administrative assistance to our construction management team. Primary Duties include, but are not limited to, the following:
- Assist in office management, including answering and routing phone calls in a professional and expeditious manner, processing vendor invoices, and assisting in other administrative and clerical tasks as needed.
- Assist in pre-qualifying subcontractors, including reviewing vendor licensing, insurance certificates, etc.
- Track and process prevailing wage documents, including vendor Intents/Affidavits for prompt payments.
- Provide administrative support for the management of multiple, simultaneous construction contracts, including:
- Accurately completing project start-up documentation,
- Issuing and tracking vendor commitments and related documentation,
- Organizing and maintaining project records, and
- Compiling and organizing close-out packages.
Note: Saybr uses Procore, an online project management system, to share, communicate, and track our projects. Applicants with Procore experience will be more highly ranked.
Preferred Knowledge, Skills and Abilities:
- General knowledge of the commercial construction industry, including understanding of common terminology.
- Experience with government construction contracts.
- Ability to understand construction specifications.
- Ability to effectively communicate.
- Highly organized with a focus on continual process improvement.
- Able to develop and maintain positive relationships with the entire project team including fellow co-workers, clients, vendors and other third-party representatives.
- Demonstrated proficiency using computer and company communication tools, such as email, internet, and Microsoft products (e.g., Word, Excel, Office, Outlook).
- Experience with Procore a plus; enthusiasm in learning and implementing new technology essential.
Other Requirements:
- Able to pass pre-employment drug screening.
- In possession of a valid Washington State Driver’s License with a clean driving record.
- Reliable transportation to and from Tacoma-based office.
This position is an hourly non-exempt position with a salary range of $60,000 – $70,000 depending on experience. Saybr offers comprehensive medical, dental, and vision insurance coverage following one month of employment. Employees are eligible to participate in the company’s 401k/retirement plan following three months of employment.
