As a Executive Assistant to the CEO at SCALIS, you will play a critical role in supporting the Chief Executive Officer (CEO) with the execution of marketing initiatives, strategic projects, and operational priorities. This hybrid role combines executive support with project management and marketing coordination, ensuring the smooth execution of campaigns, brand-building efforts, and key organizational initiatives. You’ll work closely with the CEO and marketing teams to amplify the visibility of SCALIS Early Careers, our flagship platform connecting 195,000 college students with valuable internship opportunities, and drive meaningful engagement with stakeholders. This position is ideal for someone with strong organizational, communication, and marketing skills who thrives in a dynamic, fast-paced environment.

Responsibilities

Executive Support

  • Manage the CEO’s calendar, schedule meetings, and coordinate logistics for internal and external events.
  • Prepare meeting agendas, presentations, and materials to ensure the CEO is well-equipped for engagements.
  • Handle sensitive information with utmost discretion and maintain confidentiality at all times.

Project Management

  • Track progress on multiple projects, analyze priorities, and provide updates to ensure alignment with the CEO’s objectives.
  • Coordinate with internal teams and external stakeholders to arrange working sessions and meet project milestones.
  • Monitor key performance indicators, identify areas for improvement, and provide insights to enhance team efficiency.
  • Prepare reports, presentations, and dashboards to support strategic decision-making.

Coordination & Event Management

  • Organize and facilitate executive team meetings, offsites, and events, ensuring seamless execution.
  • Collaborate with cross-functional teams to align on organizational priorities and drive outcomes for key initiatives.
  • Represent the CEO and the organization at industry events, webinars, and meetings, fostering collaboration and expanding SCALIS’s network.

Content Development & Brand Building

  • Create engaging articles, blogs, and newsletters tailored to college students, recent graduates, and early career professionals.
  • Edit and proofread content to ensure alignment with our tone, values, and audience preferences.
  • Develop product messaging, value propositions, and content (e.g., product sheets, case studies, blogs, emails) that communicate product benefits effectively to target audiences
  • Develop brand messaging that resonates with both students and employers, emphasizing the advantages of leveraging ATS systems for streamlined hiring.

Social Media Strategy & Community Engagement

  • Manage our social media channels, creating content that inspires and informs our audience while driving engagement and visibility.
  • Develop and execute social media campaigns to spotlight internships, job opportunities, and career advice.
  • Monitor social media trends and industry developments to keep our content fresh, relevant, and aligned with our brand goals.

Qualifications

  • Pursuing or recently completed a degree in Marketing, Communications, Journalism, or a related field.
  • Strong written and verbal communication skills, with the ability to craft engaging messages for diverse audiences.
  • Proactive and resourceful, with experience using social media platforms, content management systems, and digital marketing tools to achieve results.
  • Highly organized and accountable, able to independently manage multiple tasks and deadlines with exceptional attention to detail.
  • Passionate about early career development, recruitment technologies (e.g., ATS), and creating meaningful connections between employers and students.
  • A self-starter who thrives on taking ownership of projects and delivering impactful results in a fast-paced environment.
  • Ability to be in the Miami office 2 - 3 days per week.
