Schwazze is seeking a detail-oriented Accounts Payable & Receivable Specialist (AP/AR) to join our accounting team. This role involves a combination of transactional bookkeeping, data entry, and entry-level accounting. The ideal candidate will be extremely organized, have excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Schwazze is seeking a detail-oriented Accounts Payable & Receivable Specialist (AP/AR) to join our accounting team. This role involves a combination of transactional bookkeeping, data entry, and entry-level accounting. The ideal candidate will be extremely organized, have excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Essential Functions
- Manage shared inboxes for invoice processing and respond to internal and external inquiries.
- Process and code a high volume of invoices for approval through an AP routing software.
- Ensure accuracy in vendor and customer accounts by performing statement reconciliations.
- Process and record AP/AR credit memos and discounts in response to internal and external requests.
- Book revenue by creating wholesale invoices and emailing them to the customer.
- Apply incoming check and electronic payments to ensure accurate records.
- Manage collections on delinquent accounts and communicate account status to customers in a timely manner.
- Maintain a clean email inbox, organized digital document filing, and accurate financial records.
- Ensure that processes are compliant with all company policies and controls.
- Other duties as assigned.
Education and Experience
- 2 years of experience in accounts payable, accounts receivable, or accounting.
- Experience in the cannabis industry is a plus.
- Attention to detail, organization, and accuracy.
- Ability to prioritize tasks, work independently, and handle multiple responsibilities.
- Efficient, clear, and concise internal and external communication skills.
- Experience with Sage X3 or a similar ERP system is a plus.
- Experience with X3 CloudDocs or a similar AP routing/approval software is a plus.
- Computer skills required include high proficiency in Microsoft Suite, especially Outlook and Excel.
- Ability to stay calm and professional in a high-volume, deadline-driven environment.
- In Office, Monday through Friday (approx. 8am to 5pm).
- Additional hours are based on the manager's requirements, with some night or weekend work as needed.
