Job Overview:
We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team. This role involves managing a variety of administrative tasks, including answering phone calls, processing invoices, managing estimates, and facilitating orders for materials like glass, Eze Breeze, motorized screens, and acrylic jobs. The ideal candidate will assist with estimates, ensure accurate record-keeping, and maintain communication with customers and internal teams to ensure smooth operations.
Key Responsibilities:
o Phone/Email Support:
- Answer incoming phone calls with a positive phone presence
- Assisting homeowners with their needs, collecting details, to better assist them
- Responding to emails or phone calls where there are questions, addressing concerns and providing information about products or services
o Purchase Order Management:
- Pull all necessary Purchase Orders (POs) for internal teams
- Check vendor portals for schedule management of upcoming POs for internal teams
o Invoice Management:
- Organize, and file paid invoices
- Scan all paid jobs to cloud base server
- Initiating payment process in vendor portals for completed invoices
o Estimate Creation:
- Input all relevant details for windows, Eze Breeze, acrylic, glass, and motorized screen jobs
- Generate estimates for customers based on details provided by field team
- Ensure estimates are signed and verified by customers
- Collaborate with the accounting department to ensure deposits on orders are collected
o Order Management:
- Process orders for glass, Eze Breeze, motorized screens, and acrylic jobs.
- Track order process and delivery dates
- Coordinate with homeowners to schedule delivery/installation of orders
o Lien Processing:
- Prepare and process "Notice to Owner" liens as needed for specific builders.
Qualifications:
- Strong organizational skills and attention to detail.
- Experience in administrative roles, including managing invoices and estimates.
- Ability to communicate effectively with internal teams, customers, and external vendors.
- Proficiency in using Microsoft Office Products and Quickbooks
- Ability to learn and become proficient with vendor websites
- Prior experience in construction, window, or screen-related industries is a plus.
