About the job:

SDC is seeking an Executive Assistant to join our Charleston office.


Position Overview:

We’re looking for an energetic and pro-active problem solver with high emotional-intelligence and strong relationship skills. Good judgement and discretion are essential. Capable of handling sensitive conversations with senior managers and representing the firm with a wide range of important relationships happy to clean up dishes in the kitchen and get coffee for guests. Positive culture carrier who will improve communication across the firm is crucial.


Responsibilities:


Scheduling

  • Efficiently manage multiple calendars, ensuring seamless meeting coordination amidst changing priorities.
  • Skillfully handle rescheduling, maintaining strong relationships and clear communication with all stakeholders.


Travel Coordination

  • Organize travel for senior managers, balancing cost-effectiveness with time efficiency.
  • Prepare detailed itineraries, including key contacts for resolving potential issues such as delays or transportation problems across various time zones.


Workflow Management

  • Record and distribute meeting minutes promptly when needed.
  • Oversee action trackers to ensure accountability and follow-through on tasks.
  • Coordinate with internal teams to process paperwork, manage document versions, highlight revisions, and ensure all necessary approvals are secured before final signatures.
  • Maintain updated contact lists for internal and external use.


Expense Management

  • Track, categorize, and reconcile expenses, working closely with the finance and accounting teams.
  • Stay up to date with firm policies regarding expense management and reporting.


Office Management

  • Maintain inventory and order office supplies as needed.
  • Prepare meeting rooms, ensuring a clean environment, no confidential materials are exposed, and catering is set up when necessary.


Event Planning

  • Lead the organization of the annual investor meeting and firm-wide offsite events, ensuring smooth execution from start to finish.


Presentation and Design Skills

  • Create investor materials, invitations, and other key documents using PowerPoint and Excel.
  • Handle data entry and tracking tasks with attention to detail.


Project Management

  • Provide assistance with office relocations and special projects, ensuring tasks are completed on time and to the required standard.


Requirements:

  • Bachelor's degree required
  • Prior experience in an administrative role, such as an executive assistant, personal assistant, or similar position required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
  • Strong ability to manage time and prioritize tasks effectively.
  • Accurate data entry skills with attention to detail
  • Excellent efficiency and planning skills
  • Ability to interact professionally with executives, clients, and other stakeholders.
  • Excellent written and verbal communication skills
