The Convention Service Coordinator is responsible to coordinate arrangements for group meetings and conventions. Plans coordinates and implements special events and other meetings conferences and special projects. Ensures that the administrative functions for all Sales positions and the Director of Sales and Marketing are handled performing duties personally. Associates are expected to work as much of each workday as is necessary to complete their job responsibilities.
Responsibilities
QUALIFICATIONS:
- College course work in related field helpful.
- Experience in a hotel or a related field preferred.
- High School diploma or equivalent required.
- Must be proficient in Windows operating systems
- Must be able to convey information and ideas clearly.
- Must be able to evaluate and select among alternative courses of action quickly and accurately.
- Must work well in stressful high-pressure situations.
- Must maintain composure and objectivity under pressure.
- Must be effective in handling problems in the workplace including anticipating preventing identifying and solving problems as necessary.
- Must have the ability to assimilate complex information data etc. from disparate sources and consider adjust or modify to meet the constraints of the need.
- Must be effective at listening to understanding clarifying and resolving the concerns and issues raised by coworkers and guests.
- Must be able to work with and understand financial information and data and basic arithmetic functions.
RESPONSIBILITIES:
- Consult with representatives of client group or organization to plan details such as number of persons expected and food service schedule.
- Plan, coordinate, and implement special events, meetings, conferences, and special projects.
- Notify various department heads of arrangements/changes made.
- Coordinate and organize Pre and Post Cons.
- Create and distribute weekly group resumes and BEOs for all sales bookings.
- Work directly with Banquets and AV per client's needs.
- Approach all encounters with guests and employees in an attentive, friendly, courteous, and service-oriented manner.
- Maintain regular attendance in compliance with company standards.
- Comply with certification requirements as applicable for the position.
- Maintain sales files in an organized fashion and as per specified standards.
- Complete monthly competition statistics of all area hotels and submit to the Director of Sales.
- Order and maintain all sales forms and collateral as specified.
- Answer phones for sales/catering staff and record messages as appropriate.
- Inspect hotel & conference rooms and displays for conformance to needs and desires of the group.
- Arrange publicity, special functions, adjust complaints, and perform other duties to promote goodwill.
- Attend monthly all-employee meetings and any other required functions by management.
- Be familiar with all company sales policies and house rules.
- Ensure employees are always attentive, friendly, helpful, and courteous to all guests, managers, and fellow employees.
- Meet and greet onsite contacts.
- Order all A/V equipment for functions (if applicable).
- Order rentals for functions (if applicable).
- Perform any other duties as required.
