Job Summary:
The Administrative Assistant will play a critical role in supporting the firm’s attorneys by handling phone calls, scheduling, client intake, and onboarding. This role requires a professional demeanor, excellent communication skills, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Phone Management: Answer and direct incoming calls professionally, screen potential clients, and take detailed messages as needed.
- Calendar Coordination: Manage a busy attorney’s calendar, scheduling meetings, court dates, and client appointments while ensuring minimal conflicts.
- Client Intake & Screening: Handle the initial client intake process, collect necessary information, and assess potential client fit based on firm criteria.
- Client Onboarding: Assist new clients with completing necessary paperwork, setting up initial consultations, and ensuring a smooth transition into the firm.
- Administrative Support: Maintain client records, draft correspondence, and provide general office support to attorneys and staff.
- Confidentiality & Compliance: Maintain strict confidentiality of client information and ensure compliance with firm policies.
Qualifications:
- Previous experience as an administrative assistant, legal assistant, or office coordinator (preferably in a law firm).
- Strong organizational skills with the ability to prioritize and multitask.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and experience with legal practice management software is a plus.
- Ability to handle sensitive information with discretion and professionalism.
