POSITION SUMMARY:

The Temporary Human Resource Assistant is responsible for managing the candidate pipeline, ensuring a seamless hiring process from applicant approval through onboarding. With the help of the HR Manager, this role oversees job postings, candidate communications, background and reference checks, and coordination of health assessments and orientation schedules. Additionally, the position provides administrative support to the HR department while maintaining compliance, confidentiality, and professionalism.

 

ESSENTIAL FUNCTIONS:

Administrative Support:

  • Provide comprehensive administrative support, including document preparation, data entry, and maintenance of HRIS and personnel records.
  • Ensures HR files, records, and documentation comply with legal retention policies.

Recruitment and Onboarding:

  • Manages the candidate pipeline from approving applicants for interviews to onboarding, ensuring consistent communication with candidates at each stage. Responsibilities include contacting applicants, conducting background and reference checks, scheduling health assessments, coordinating orientation dates, and providing IT and HR Manager with a new hire list for each orientation.
  • Ensures job postings are consistently maintained and updated across BambooHR, Indeed, and the Apricot Staff Matrix, ensuring alignment and accuracy across all platforms.
  • Coordinates pre-employment screenings, including health assessments and TB tests for staff, volunteers, and board members.
  • Conducts fingerprinting background checks and tracks this information through Claris.

Employee Relations:

  • Respond to routine employee and applicant inquiries regarding HR policies, benefits, and procedures, escalating complex matters as needed.
  • Assist with HR events, such as benefits enrollment and employee engagement activities.

Compliance and Confidentiality:

  • Maintain the integrity and confidentiality of human resource files and records.
  • Ensure compliance with HR-related laws, regulations, and agency policies.
  • Uphold the confidentiality and privacy of SEK-CAP, Inc. employees and customers.

Organizational Support:

  • Upholds and promotes the Core Values and Mission Statement of SEK-CAP, Inc.
  • Supports management decisions both in actions and words.
  • Promotes positive public relations and represents SEK-CAP, Inc. in the community.
  • Respects and supports cultural differences and diverse family structures.
  • Demonstrates good work habits such as arriving on time and appropriate break times.
  • Attends mandatory training and staff meetings.
  • Performs other duties as assigned.

KNOWLEDGE AND EXPERIENCE:

Essential:

  • Basic knowledge of human resources functions and office administration.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).Strong verbal and written communication skills.
  • Excellent interpersonal skills and ability to provide customer service-oriented HR support.
  • Ability to learn and adapt quickly.
  • Ability to handle confidential information with discretion.
  • Experience with HRIS or applicant tracking systems (preferred: BambooHR).
  • Strong organizational skills and attention to detail.

Desired:

  • Prior experience in an HR or administrative role.
  • Familiarity with employee file management and HR processes.
  • Experience working with databases or data entry systems.

EDUCATION AND QUALIFICATIONS:

  • High school diploma or equivalent required; Associate degree in Human Resources, Business Administration, or a related field preferred.
  • Prior experience in office administration or HR support preferred.
  • Must pass a standard criminal history check and background screening.
  • Ability to work full-time for the duration of the temporary position (April - September 2025).
  • Obtain CPR and First Aid Certification. (Training provided.)

  • Occasional exposure to wet and/or humid conditions and outside weather conditions.
  • Regularly lift and/or move up to 15 pounds.
  • Use of hands to type, handle documents, or perform other office tasks.
