What are the responsibilities and job description for the Home Care Office Manager position at Senior Helpers - Waukesha?
Compensation: $40,000 - $45,000 a year
At Senior Helpers of Waukesha, we are passionate about providing compassionate, high-quality in-home care that allows seniors to live independently and with dignity. We are seeking an experienced and highly motivated Office Manager to join our dedicated team, servicing Brookfield, Butler, Delafield, Pewaukee, Elm Grove, New Berlin, North Prairie, Wales and Waukesha. In this role, you will oversee three categories:
Caregiver Management:
- Assist with the full caregiver life cycle:
- Manage job ads and applicant tracking
- Coordinate and schedule caregiver interviews/ perform on the spot walk in interviews
- Processing applications (interviews, reference checks, background checks)
- Preparing onboarding paperwork with your payroll processor and also at the onboarding/orientation session at your office
- Develop and maintain new hire packets and employee handbooks
- Inviting caregivers to orientation
- Input caregiver data into the home care software/ cross reference for accuracy
- Involvement in Training caregivers in the Center of Excellence
- Manage caregiver schedules
- Resolve paycheck issues
- Tracking driver’s license & auto insurance & tests
- Manage caregiver timekeeping:
- Data-entry of clients and caregivers hours into software system
- Helping caregivers with clock in/out questions
- Organize timesheets with the scheduling calendar in the home care software
- Track and report late, missing, or incorrectly filled-out timesheets to management
Client Relations:
- Cultivate strong client relationships
- Prepare and distribute client welcome packets
- Manage client leads in the Contact Manager, including mailing appropriate materials and ensuring accurate record-keeping
- Maintain organized and accessible client files
- Resolve any billing inquiries with the client account
- Foster effective communication with clients, families, caregivers, and other stakeholders
Office Operations:
- Answer and screen incoming phone calls professionally and courteously
- Perform general office duties as assigned
- Play a crucial role in the day-to-day operations of our office
- Ordering office supplies
- Ensure smooth and efficient administrative support to our caregiving team
- Maintain accurate client and employee records
- Job Fairs
- Posting on Social Media
Ideal Candidate:
- 2 years of experience in home health or related field (required)
- Familiar with a variety of home care concepts, practices and procedures
- 1 years of experience in management, recruiting, and HR on-boarding
- Thorough understanding of State Regulations for Home Health
- Excellent organizational, communication, and interpersonal skills
- Proficiency in Microsoft Office Suite and other relevant software
- Strong problem-solving and decision-making abilities
- Strong organizational skills and the ability to manage prioritize tasks effectively
- Exudes a positive and compassionate attitude with strong commitment to providing exceptional customer service
- Team player, excellent verbal and communication skills, adaptable in different situations, possesses excellent client interaction skills
