General Description:
The Administrative Assistant reports directly to the Director of Transportation & Environmental Resources (T&ER) and provides administrative assistance to all T&ER staff. Must be a master multi-tasker with excellent communication and writing skills with an upbeat attitude. Will assist the Division and all visitors to the Agency by handling office tasks, providing polite and professional assistance via phone, mail, and email, and generally being a helpful and positive presence in the workplace with attentiveness, accuracy, accepting a challenge directly, and a genuine desire to meet the needs of others.
Performs complex (journey-level) administrative support or technical program assistance work. Work involves disseminating information; answering questions pertaining to all division programs; answering telephones and routing calls to the proper staff; typing; operating and maintaining office machines; preparing, editing, and proofing correspondence, brochures and documents; opening and sorting mail. Works under general supervision with moderate latitude for the use of initiative and independent judgment. Must be able to handle fast-paced situations.

- Other: Has regular contact with other T&ER personnel, elected officials, local and state governmental technical staff, and the general public.
Examples of Work:
· Performs complex administrative support
· Prepares, interprets, and disseminates information of public interest concerning programs and procedures
· Prepares, edits, and distributes correspondence, reports, studies, forms, and documents
· Proofs program publications/plans, brochures, forms, and charts
· Coordinates meetings, conferences, and seminars with advisory councils and public, state, and federal government groups
· Records, transcribes, and distributes meeting minutes
· Maintains record keeping, filing system, and orders office supplies
· Compiles and enters data for charts, graphs, databases, summaries, or reports
· Utilizes certain office equipment such as computer, facsimile, copier, etc.
· Responds to inquiries regarding rules, regulations, policies, and procedures
· Participates in the planning and execution of division programs
· Answers phone calls, routes incoming calls, takes messages, greets visitors and directs to appropriate staff
· Assists staff members as requested
· May develop training materials
· May train and supervise the work of others
· Performs related work as assigned
GENERAL QUALIFICATION GUIDELINES
Education and Experience:
5 or more years work experience in administrative support work or technical program area. Graduation from an accredited four-year college or university with major course work in a field related to program area or graduation with an AAS degree in Office Administration is generally preferred. Experience and education may be substituted for one another.
Knowledge, Skills and Abilities:
· Knowledge of office practices and administrative procedures
· Extensive skill in use of standard office equipment (computer, facsimile, copies, etc.) and software (Microsoft Office – Word, PowerPoint, Excel, Outlook, Publisher, Access; Adobe Photoshop, Adobe Design, etc.)
· Skill and ability to work independently or in a team environment
· Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to train others
