TITLE: Sales & Banquet Manager

POSITION FOCUS: Will fully support, from an administrative, customer service, and sales lead development perspective, the sales team to develop future and repeat business as well as coordinate meeting and banquet functions of the hotel.

JOB REQUIREMENTS: Alcohol awareness certification as required by local or state government agency. Must be able to reach all areas of hotel to assist clients. Occasional carrying and lifting of heavy items. May be required to work nights, weekends and holidays. Will be required to be on call when away from work. Frequent travel will be required such as when making outside sales visits.

ORGANIZATIONAL STRUCTURE: Reports to: Director of Sales and General Manager. Subordinates: N/A

PRIMARY RESPONSIBILITIES

• Identify new contacts, develop sales leads, and respond to sales opportunities in order to maximize revenue  

• Understand fully the hotel amenities, packages and promotions  

• Generate and develop sales leads and contact potential clients to build business relationships 

• Produce quotations and written confirmation to all clients 

• Produce accurate and timely reports that meet the needs of the Sales Director and senior management to include the reporting of appointments, calls made and business leads

• Monitor customer satisfaction regularly and resolve any outstanding issues to ensure future business

• Must have understanding of managing group blocks and house accounts for meeting spaces 

• Be present for the setup and beginning stages of all events 

• Ensures that predetermined sales expectations are met or exceeded.

• Develops and maintains relationships with key clients in order to produce group and/ or convention business. 

• Helps negotiate guest room rates, meeting room rentals, function space and hotel services within approved booking guidelines. Confirms agreements in writing and forwards document to client and affected hotel departments. 

• Conducts tours of the hotel and banquet facilities; entertains qualified potential clients in accordance with company and property policies and procedures.  

• Forecasts and accurately records and all bookings and cancellations.

• Assists the Director of Sales with the implementation and any tasks that are requested 

• Helps procure leads by manning breakfast and the manager’s reception 

• Conducts outside sales minimally two days per week with hotel collateral such as business cards and flyers to help secure future business and maintain current business. Outside sales to DJ’s, churches, etc. should be scheduled whenever possible.

• Email weekly recap of in-house events, completed outside calls, prospecting, inquiries and schedule of calls for the following week to GM and DOS by end of business day each Friday 

• Responds quickly to guest requests in a friendly manner. Follows up to ensure guest satisfaction.

• Oversee the daily banquet operations.

• Meet with customers to review banquet event orders, making any necessary changes to ensure proper service of events.

• Visually inspect banquet space and equipment prior to functions for cleanliness, proper inventory and set up. 

• Works directly with Catering provider and AV Provider to ensure compliance with hotel policies and meet customer’s needs.

• Helps negotiate guest room rates, meeting room rentals, function space and hotel services within approved booking guidelines in conjunction with DOS.

• Assists DOS to confirm agreements in writing and forwards document to client and affected hotel departments. 

• Assists DOS to calculate and review final contract and invoice to ensure accuracy, presenting final check to customer and submitting check to accounting.

• Represents property at community events when requested by GM or DOS.

• Completes DELPHI training and utilizes system in coordination with Director of Sales

• Cross-trains at front desk and sales departments and assists when necessary

• Perform work duties in accordance with safety and security policies and procedures as well as OSHA and applicable state and federal regulations.

• Maintains a professional image at all times through appearance and dress.

• Follows company policies and procedures and is able to effectively communicate them to subordinates.

• Responsible for understanding and adhering to guidelines set forth in the team member handbook. Expected to report to work on scheduled days and at scheduled times.

• Observes the 5x10 rule, which is to be complied with at all times. Anticipate and address guests' service needs; assist individuals with disabilities; thank guests with genuine appreciation.

• Other duties as assigned by supervisor or management.
