Overview
We are seeking a detail-oriented and experienced Assistant Controller to join our finance team. The candidate will play a crucial role in supporting the financial operations of our organization, ensuring compliance with accounting standards and regulations. This position requires strong analytical skills, attention to detail, and the ability to work collaboratively within a team environment. This position will report to the Finance Director.
Responsibilities
- Enters all association and condominium invoices with attention to invoice dates and due dates.
- Enters and journalizes all chargebacks and work orders monthly.
- Prepares checks to pay all association liabilities in a timely fashion based on due dates and determine that all expenditures are properly approved.
- Records all receipts of monthly maintenance fees and prepare late maintenance report whether by bank transfer or check.
- Prepares and maintains accounts payable reports and vendor files.
- Prepares and posts monthly journal entries.
- Assists in the reconciliation of general ledger accounts prior to the preparation of financial statements.
- Assists with the reconciliation of various balance sheet accounts.
- Prepares and updates association and condominium cash and fund expenditure schedules and reconcile to each other.
- Prepares monthly condominium financial documents.
- Prepares monthly sales tax return.
- Collaborates with external auditors during audits and provide necessary documentation.
- Familiarity with various accounting software applications, particularly NorthStar and maintain accurate records using accounting software (NorthStar).
- Reports any inconsistencies or unauthorized events immediately to the Finance Director.
- Solid understanding of debits, credits, and general accounting principles.
- Assists as backup for the Business Office Coordinator when needed.
- Abides by all association stated policies and procedures.
Education & Experience
This position requires a 4-year degree or equivalent. Experience in fund accounting and accruals are necessary. Knowledge of accounting software, NorthStar is preferred. Must be able to work independently and also with the team; attention to detail a must. Experience with Microsoft Office and Excel and must possess computer and typing/word-processing skills.
Physical & Emotional Demands
Normal office physical demands. Must be able to reach, bend, stoop, stand, and lift up to 40 pounds and must be able to sit for prolonged periods of time. Moderate noise level in the work environment. Good interpersonal skills and must display patience and diplomacy when dealing with owners and others.
