We are looking for a Project Administrator who will support the management of Wastewater Treatment Plants with the goal of delivering every project on time, within budget and within scope.
Requirements
- Setting up per diems for crews on their out-of-town jobs.
- Manage hotel reservations through CLC (and other accounts).
- Creating lease & sale project folders.
- Oversee O&M process - saving data as built & construction drawings, request information from suppliers, bookmarking, creating specific labels, printing, assembling, shipping, and inventory of binders.
- Creating & sending out inspection forms.
- Search supplier invoices within ERP system.
- Setting up/cancelling porta-cans.
- Completing job info forms.
- Request tax exemption forms.
- Schedule Deliveries.
- Prepare weekly project reports.
- Assist with submittals for projects.
- Update and track project sheets and forms.
- Working with Field Service Manager, and Field Supervisors to manage the fleet of equipment and vehicles and track preventative maintenance in the system and help coordinate scheduling of repairs and maintenance.
- Working closely with Project Coordinators and Project Managers to support inventory needs, and coordination of resources needed by Field Supervisors on job-Sites.
- Putting together client weekly updates with pictures, and report details from the Field Supervisors.
- Other duties as assigned.
- Excellent internal & external communication skills - both written and verbal.
- Experience with Fleet Management and tracking maintenance.
- Solid organizational skills including attention to detail and multi-tasking skills.
- Strong working knowledge of Microsoft Office required; Adobe Acrobat Pro experience preferred.
- Ability to work well independently as well as in a team environment.
- Behave Ethically: Understand ethical behavior and business practices and ensure that own behavior and the behavior of others is consistent with these standards and aligns with the values of the organization.
- Communicate Effectively: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques.
- Ability to work hybrid schedule (minimum of 2 days in the office required).
- May need to go to visit job sites or warehouse on occasion.
- Attention to detail is critical to the success of the role managing project details, and system updates.
- Bachelor's degree in a relevant field is strongly preferred. Experience in Project Administration in construction, similar industry is a plus.
- Bilingual and able to read, write and speak Spanish proficiently.
