QUALIFICATIONS:
1. High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred).
2. Five to ten years’ experience as an executive assistant or a similar role, preferably in an educational or municipal setting.
3. Exceptional organizational and multitasking skills.
4. Strong written and verbal communication skills.
5. Ability to work under pressure, handle confidential information with discretion, and maintain professionalism at all times.
6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other office software.
7. Ability to prioritize tasks
JOB RESPONSIBILITIES:
- Must maintain a high level of confidentiality.
- Assists the Superintendent-Director in general administrative operations.
- Compiles statistics and gathers such other data as the Superintendent-Director may require and presents it in a usable format.
- Maintains a schedule of appointments/calendar and makes arrangements for meetings and interviews.
- Attends meetings as assigned by the Superintendent-Director.
- Prepares and reviews reports as assigned by the Superintendent-Director.
- Maintains organized filing systems for correspondence.
- Maintains personnel records for faculty and administration.
- Maintains records pertaining to professional improvement for salary scale advancement.
- Tracks salary column and step placement for the Superintendent-Director.
- Reports to the Superintendent-Director any developments or problems requiring the Superintendent-Director’s awareness or action.
- Arranges for placement of advertisements for position openings within the District.
- Oversees the posting process for extra curricular positions eg: coaches, advisors, mentors.
- Ability to effectively communicate with members of the five town districts, as well as all visitors to the Superintendent-Director’s office.
- Performs such other tasks and assumes such other responsibilities as the Superintendent-Director may assign or delegate.
- Attends all meetings of the School Board and its Subcommittees.
- Insures public notice of all meetings of the full Committee and Subcommittees are posted appropriately.
- Keeps full and accurate minutes of all meetings and sends a copy of such minutes to the Committee at least forty-eight hours prior to the next regular meeting.
- Assists in the preparation of the agendas setting forth all known items of business to be considered at the Committee meetings.
- Insures all action items from Committee meetings are followed through within a timely fashion.
- Performs Criminal Background checks for all employees, new staff, co-op employers and PN students as required.
TERMS OF EMPLOYMENT: Twelve-month year. Salary to be determined by the Superintendent-Director. Working hours to be determined by the Superintendent-Director.
