JOB DESCRIPTION

Front Desk

JOB SUMMARY

The Front Desk/Administrator position is responsible for supporting all departments of the company as it pertains to the day-to-day functions of the office and our environment/workflow culture. The Front Desk/Administrator possesses a can-do positive attitude, high energy, sense of enthusiasm and sense of humor all while working within a team environment. They also demonstrate a desire for consistently progressive growth in responsibilities.

JOB RESPONSIBILITIES

  • Data Entry
  • Order and maintain office supplies (Amazon/ARC/etc)
  • Keep the printer/scanner stocked and maintained
  • Address ARC usage emails
  • Stamp and address outgoing mail
  • Sort and distribute incoming mail
  • Answer the phone and distribute messages accordingly
  • Manage the Info emails and distribute accordingly
  • Update information as needed with employee lists, addresses, templates, etc.
  • Scan and send Certificates of Insurance to Accounting, file hard copies in binder
  • Business Licenses – Secretary of State renewal
  • Responsible for basic data entry as needed
  • Some filing and maintenance of files may be required
  • Greet everyone who walks into our office
  • Offer beverage to guest(s) where necessary
  • Notify Shelter Homes personnel of visitor arrival/inquiry
  • Perform any other clerical duties to keep the office running
  • Keep the front of the office tidy
  • Keep the “kitchen area” cleaned up/dishes washed and put away
  • You may be asked to order lunches for special meetings
  • Special projects as assigned
  • Miscellaneous duties to provide assistance and support any/all company departments
  • Carry out responsibilities in accordance with the company’s policies and applicable laws.
  • Represent the Shelter Homes brand and culture.
  • Other duties as assigned
  • Run production meetings

Transaction Coordinator

  • Deliver new homeowner gifts/packets
  • Register all sales with warranty and schedule homeowner walks
  • Keep track of important dates in Outlook calendar and QB
  • Process sales/ acquisitions
  • Contact brokers
  • Order title commitment packages
  • Facilitate inspection items with sales and field team
  • Coordinate HOA insurance, Condo questionnaires
  • Assist in managing emails
  • Coordinate with title and escrow

JOB QUALIFICATIONS

Education –

  • A minimum of High School diploma/GED

Experience:

  • Good analytical and writing skills
  • Experience with Microsoft Office 365/Outlook
  • Familiarity with phone systems/voicemail retrieval
  • Ability to interact with other departments to ensure team success
  • Self-starter and able to work both independently and as part of a team
  • Ability to give, receive, and analyze information and make effective decisions under pressure in a high-volume fast paced environment
  • Exhibit accuracy and attention to detail while staying clearly focused on the big picture
  • Organized with the ability to prioritize projects and meet deadlines with multiple interruptions

POSITION REQUIREMENTS:

· Excellent customer service and friendly demeanor

· Must be able to do light lifting up to 25 lbs. including agility to move and load/unload office supplies (box of paper/water jug, etc.)

· Attention to detail

· Ability to actively listen

· Willingness to jump in and assist

· Self-motivated

· Teamwork/good attitude

· Professional and integral

· Ability to multitask and see the task through

· Ability to work with minimal supervision

· Must adhere to company policies and procedures.

· Must have excellent command of the written English language and ability to communicate both verbally and in writing.

· Must be well-organized

· Must possess strong keyboarding skills

· The ability to work in Word, Excel, Adobe.

Job Type: Full-time

Pay: $22.00 - $28.00 per hour
