The Payroll Manager will oversee the organization’s payroll functions, ensuring pay for over 350 employees in multiple states. Responsible and accountable for all aspects of Shiel Sexton’s weekly and bi-weekly payroll cycles, tax compliance, payroll reporting, benefit calculation and payments. Primary contact with employees, accounting team and tax agencies regarding pay and tax question and/or issues. Assist with audits.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manages weekly and bi-weekly payroll function, including verification of hours worked, employee and employer taxes are correct, payroll reporting and coordination with our payroll vendor, UKG
  • Oversees paid time off plans including calculating accruals/carryovers, configuring new plan design in HRIS, auditing and assigning plans to employee profiles and tracking benefit payouts.
  • Coordinates entry, configuration, and process of information in the payroll system; information may include employee hourly rates, salaries, bonuses or other compensation, time worked, paid leave and holidays, deductions, and withholdings.
  • Ensures proper processing of payroll deductions for taxes, benefits, retirement contributions, and garnishments.
  • Work closely with human resources to co-manage all technical and operational functions of the Company’s HRIS.
  • Oversee data integrations between HRIS and project management systems to ensure employee information, cost centers and job cost allocation information exchange is accurate and timely.
  • Maintain and troubleshoot the Company’s electronic timekeeping application.
  • Partner with the HR team, Accounting, & other internal customers to ensure effective inter-departmental processes and issue resolution.
  • Ensure general ledger support through reconciliation and analysis of payroll related balance sheet accounts, general ledgers, and journals.
  • Maintain employee confidence and protect payroll operations by providing prompt customer service to employees when any payroll questions or issues arise and keeping employee information confidential.
  • Facilitates audits, both fiscal yearend and calendar yearend, by providing records and documentation to Manager for review.
  • Complete quarterly and year-end review and close out of payroll including generating and auditing W2s and working directly with our software firm, UKG, to provide year-end reporting and tax documents as required.
  • Keeping abreast of the payroll processing system and changes in wage and tax law, and corresponding with federal, state, and local tax agencies.
  • Makes recommendations to management to ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Identifies and recommends updates to payroll processing software, systems, and procedures.
  • Strong analytical and problem-solving skills.
  • Forensic job cost accounting duties.


QUALIFICATIONS/SKILLS & KNOWLEDGE REQUIREMENTS

  • Associate's Degree required; Bachelor’s Degree preferred in accounting or business management.
  • Extensive knowledge of the full cycle payroll function including preparation, balancing, internal control, and payroll taxes.
  • Intermediate skills with MS Word and PowerPoint. Advanced skills with MS Excel.
  • Experience with UKG payroll (or other payroll systems), timekeeping and BI reporting systems preferred
  • Solid understanding of payroll, payroll tax and wage law is required.
  • Excellent interpersonal and cross-team communication skills.
  • Desire to provide exceptional customer service to internal and external customers.
  • Exhibits professionalism – projects a professional image of oneself and the organization and demonstrates a positive attitude towards work and the Company
  • Proven experience in report generation including queries and report writing tools.
  • Exceptional multitasking and organizational skills.
  • Strong attention to detail and highly dependable.
  • Ability to read, write, interpret, and analyze business publications, technical procedures, and government regulations. Ability to write and interpret reports, correspondence, and manuals. Ability to effectively present to groups of people including employees, vendors, and the public.
  • Ability to solve problems and work with a variety of variables in situations where only general guidelines exist. Ability to interpret instructions in written, oral, diagram or schedule form.
  • Work well in a fast-paced environment with ability to process paperwork with high speed and accuracy.
  • Good time management skills to determine workload priorities and meet deadlines.
