Duties:
- Welcome clients, guests, and team members with a warm, professional demeanor, handling phone calls and inquiries with a friendly touch.
- Master the front desk: manage appointment scheduling, process paperwork, and keep our records up-to-date with precision.
- Harness the power of our computerized systems to track client details, update files, and handle various administrative tasks with ease.
- Provide stellar support by addressing client questions, resolving concerns, and offering assistance when needed.
- Keep our reception area looking sharp—restock supplies, maintain a tidy space, and ensure a welcoming environment for everyone.
- Assist with general office duties such as photocopying, scanning, and filing documents to keep things running smoothly.
- Manage phone communications, liaising with clients, attorneys, and staff members to ensure seamless interactions.
- Build and nurture positive relationships with clients, colleagues, and other stakeholders to foster a welcoming atmosphere.
Experience:
- Previous experience as a receptionist or assistant in a legal, dental, or medical setting is a plus.
- Demonstrated excellence in customer service and administrative support.
- Familiarity with computerized systems, including phone systems and scheduling software.
- Knowledge of legal terminology is a great asset.
- Strong organizational and communication skills are essential for this role.
- Ability to thrive in a fast-paced environment and adapt to evolving priorities.
- Fluency in Spanish is a bonus!
