Position Overview:
The Administrative Assistant / Human Resources Generalist will provide essential support to both the administrative and human resources functions of our school. This role requires someone who excels at multitasking, managing confidential information with discretion, and fostering positive relationships with directors, staff, families, and external partners. To be successful in this role, you should be well-organized, detail oriented, adept at filing and documentation, tactful and diplomatic in communication, have excellent time management skills and be able to work both independently and as a part of a team. Ultimately, you will contribute to the efficiency of our school by providing personalized and timely support.
Key Responsibilities:
Administrative Support Functions:
- Serve as a point of contact for general administrative inquiries, directing them to the appropriate personnel.
- Assist in preparing reports, maintaining filing systems, and performing other clerical tasks as required.
- Coordinate scheduling for meetings, appointments, and school events, including preparing agendas and taking meeting minutes.
- Assist with data entry and record-keeping for files, ensuring accuracy and compliance with confidentiality requirements.
- Oversee office supply inventory and maintain an efficient and organized workspace.
- Provide logistical support for school-wide activities, such as parent-teacher conferences, training sessions, and community events.
Human Resources Functions:
- Maintain accurate employee records, ensuring all necessary documentation is up-to-date and compliant with regulations.
- Assist with recruitment efforts, including posting job openings, scheduling interviews, and conducting reference checks as necessary.
- Onboard new employees, ensuring all required paperwork (e.g., I-9 forms, W-4s) is completed accurately and on time.
- Assist in processing payroll, benefits, and employee leave requests.
- Process payroll accurately and on time, coordinating with external payroll providers as needed.
- Administer employee benefits programs, including enrollment, changes, and annual open enrollment processes.
- Address employee questions or concerns related to policies, benefits, or workplace issues in a timely and professional manner, while maintaining a positive workplace culture.
- Conduct regular audits of HR files and systems to ensure accuracy and compliance.
- Help with training and development coordination, including organizing training schedules and tracking completion.
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration, Human Resources, or a related field is preferred.
- Minimum 2-3 years of experience in administrative support or HR roles; experience in education or special needs environment is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS/payroll software.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks effectively.
- Excellent verbal and written communication skills, with the ability to interact professionally with staff, parents, and external partners.
- Knowledge of California labor laws and regulations, particularly those applicable to schools, is a plus.
- Ability to handle sensitive information with discretion.
- Strong interpersonal skills with the ability to work well with a diverse team, students, and parents.
- A positive attitude and the ability to remain flexible in a dynamic work environment.
- Minimum three professional references (preferably from previously held roles).
