Key Responsibilities:
- General administrative support; drafting of documents, filing, copying, preparation of presentations and proposals
- Functions as point of contact for executives and organizes executives schedules and communication
- Provide comprehensive administrative support to members of the executive team to facilitate achievement of departmental and company-wide objectives
- Organize, develop and plan internal and external meetings and agendas including taking meetings minutes and following up on action items
- Prepare written correspondence, forms, and reports
- Conducting research, collecting and analyzing data
- Provide backup to other administrative staff to fulfill various requests
- Assist with responding to request for proposals (RFP) and contracting agreements
- Assist with maintaining physical and electronic file systems in compliance with company policies, and regulatory and legal requirements
- Manage and support various special projects
- Participate in required trainings
Requirements/Qualifications:
- Progressive work history with at least 5 years’ experience supporting senior level executives
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Experience managing multiple calendars and inboxes, coordinating and scheduling meetings, and setting up or launching meetings on various technology platforms across multiple time zones
- Expert level written and verbal communication skills
- Demonstrated proactive approach to problem-solving with strong decision-making capability
- Proven ability to handle confidential information with discretion, and be adaptable to various competing demands
- Ability to work with limited direction and minor ambiguity; proactively anticipate planning needs and take ownership of focus and timelines
- Highly proficient skills in MS Office applications: Word, Excel, and PowerPoint
- A poised and professional presentation with an ability to engage with all levels of the organization
- Ability to work autonomously but exercise proper judgement to escalate concerns
- Strong ethics and reliability
