Position Overview & Responsibilities
The Payroll Coordinator will report directly to the Payroll Manager. This role will focus on the timely and accurate processing of W2 payroll for officers and guards and the preparation and maintenance of related reports and supporting records. The Payroll Coordinator’s core responsibilities will include the following:
Processing and Reporting:
- Accurately and timely complete multi-state W-2 employee payroll processing and reporting
- Successfully team with other Payroll Coordinators and team members from other functions to complete assigned tasks efficiently and accurately.
- Maintain and use excel spreadsheets for daily processing and reporting (inclusive of data analysis via pivot tables and the use of other functions/formulas).
- Answer payroll related questions utilizing excellent customer service skills.
- Perform general office tasks, including answering the phone, filing, copying, faxing, etc.
- Monitor and analyze payroll performance against targets and historical data.
- Identify areas of improvement in processing payroll and in data management and reporting.
- Present findings in a clear and concise manner to senior management and other stakeholders.
- Perform other delegated tasks and duties as assigned.
Data Management:
- Maintain data integrity in payroll records and ensure all data sources are up-to-date and accurate.
- Develop and refine excel models to enhance the team’s reporting and analysis capabilities.
- Develop familiarity and expertise with tools and capabilities related to the systems used by the Company (GFX – schedule and time management, SageIntacct, ADP, etc) to extract and analyze relevant data.
Stakeholder Engagement:
- Liaise with various departments, including Operations, Accounts Payable, Accounts Receivable to gather necessary data and insights.
- Assist the Payroll Manager in preparing presentations and reports for senior management, customers, and other stakeholders.
Education, Skills and Experience
- High school diploma - required
- Bachelor's degree in Business, Finance, Economics, or a related field - preferred.
- Fundamental Payroll Certification (FPC) preferred
- 3-5 years of relevant in-house W2 payroll processing experience.
- Extensive knowledge of Federal and State labor laws.
- Knowledge of multi-state W-2 employee payroll. Experience with California W2 processing preferred
- Experience in calculating payroll using military time
- Ability to work efficiently and accurately in a fast-paced environment
- Microsoft Office– including Excel proficiency with use of pivot tables, conditional sums and v-look ups.
- Experience with SageIntacct and ADP considered a plus
- Strong organizational skills
- Excellent communication skills, both written and verbal.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Ability to work effectively both independently and as part of a team.
