Event Production Manager
Overview:
We are seeking an experienced and highly organized Event Production Manager to oversee and manage all aspects of our event productions & meetings. The organized candidate will ensure each event is executed flawlessly and meets the client's expectations. This role involves planning, coordinating, and executing various types of live, hybrid, and remote events, ranging from corporate conferences to social gatherings.
Responsibilities:
Event Production Management:
Oversee pre-production planning and on-site production activities for live, virtual, and hybrid meetings and events.
Deliver high-quality productions and support, on time and within budget.
Anticipate and respond to client needs and requests.
Supervise internal and freelance staff during production.
Logistics Coordination:
Create and communicate detailed project plans for events.
Ensure onsite processes and procedures are followed.
Manage calendars/schedules for all onsite operations.
Oversee the Meeting and Event Production team.
Manage local operations in relation to the implementation of global collaboration services.
Team Leadership:
Liaise with global and local service teams to streamline processes and provide services.
Manage local implementation of new & existing collaboration technologies and services, such as Microsoft Teams, streaming/broadcasting standards, etc.
Maintain relevant Knowledge Base Articles for internal service staff and end-users.
Train local and remote team personnel on providing virtual, on-site, and hybrid meeting and event support.
Assist in vetting new team personnel for hire.
Manage and perform training for new hires and current technical producers.
Client Relations:
Be a valued partner for stakeholders, anticipate needs, and offer solutions.
Regularly communicate updates, address concerns, and maintain a positive relationship with clients.
Drive continuous process and service improvement.
Provide onsite and virtual executive support for high-profile meetings.
Create a curriculum and provide end-user guidance and support sessions.
Risk Management:
Identify potential risks and develop contingency plans to mitigate them.
Ensure compliance with IT security and data protection policies.
Post Event Evaluations:
Conduct post-event evaluations to assess the success of each event and identify areas for improvement.
Analyze feedback from clients, attendees, and team members to inform future event planning decisions.
Create and provide reports & metrics for services.
Qualifications:
Proven experience as an Event Production Manager or in a similar role
Strong organizational and multitasking skills, with the ability to manage multiple events & staff simultaneously
Excellent attention to detail and problem-solving abilities
Exceptional communication and interpersonal skills
Proficiency in event management software and Microsoft Office Suite
Knowledge of event production principles and technologies, including audiovisual setup, lighting, staging, PowerPoint, Microsoft Teams, streaming/broadcasting standards, etc.
Ability to work under pressure and meet tight deadlines
Ability to interact with C-Suite Executives and VIP clientele
Previous experience at a Pharmaceutical or Life Sciences company is a bonus
