Job Summary
We are recruiting an experienced full-time Bookkeeper/Administrative Assistant to join our team. Under limited supervision, create and maintain the accounting records for our customers using QuickBooks Online and other various accounting software applications. Process bill payments, sales tax submissions, and payroll transactions for clients. Reconcile all accounts as needed. Interface with vendors as needed. Assist in running and customizing reports that provide business analysis and results. Perform banking functions as required. Maintain regular communication with customers.
Responsibilities
- Create and maintain vendor records, including contact information, payment terms, and any other information required.
- Create and maintain customer records including contact and payment information.
- Perform all activities related to the accounts payable function including reviewing, coding, and processing payments
- Perform account receivable functions including invoicing, deposits, collections, and revenue recognition
- Record client bank transactions as needed. Download bank transactions into bank accounts, and access customer banks through read-only permissions.
- Reconcile bank accounts and provide financial reports for clients
- Prepare 1099s for application vendors (as needed)
- Process timesheets and payroll
- Answer questions from vendors and customers about their bills and invoices.
- Follow up with customers regarding required documents.
- Maintain accurate documentation physically and digitally.
- Carries out administrative duties such as filing, typing, copying, scanning etc.
- Answer telephone using proper etiquette, retrieve caller’s name, company information and phone number (if applicable), transfer calls or take messages and distribute accordingly.
- Initiate service calls as needed
- Keep inventory of office supplies and submit orders for new materials as needed.
- Post on social media on behalf of the company.
- Promote the company via networking and pursue new client opportunities.
- Perform other miscellaneous duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Excellent knowledge of computers. Work fluently with Microsoft Office and Windows operating systems.
- Working knowledge of bookkeeping for accrual accounting.
- Attention to detail and accuracy.
- Complete QuickBooks Online Certification within first 6 months of employment.
- Ability to work independently and as a member of a team.
- Ability to communicate effectively, both orally and in writing.
- High school diploma or Equivalent; degree or certification desired
Job Type: Full-time
Pay: $19.00 - $23.00 per hour
Expected hours: 40 per week
